POSITION SUMMARY
We're seeking a highly organized and proactive Administrative Assistant to provide essential operational and administrative support to our teams. This role will assist with documentation, scheduling, communication, and coordination activities that ensure seamless office and project operations. The ideal candidate is detail-oriented, efficient, and able to manage multiple priorities in a fast-paced construction environment.
KEY RESPONSIBILITIES
- Provide daily administrative support to project and management teams, ensuring smooth workflow and task coordination.
- Prepare, organize, and maintain project documents, correspondence, contracts, reports, and meeting records.
- Assist with scheduling meetings, travel arrangements, calendar management, and logistics coordination.
- Support procurement and project administration activities, including purchase orders, vendor communication, and document tracking.
- Manage office supplies, equipment, and general office organization.
- Provide support for onboarding processes, training coordination, and internal communication as required.
- Maintain updated filing systems — digital and physical — ensuring accuracy and accessibility.
- Assist with the preparation of presentations, spreadsheets, and project documentation.
- Coordinate with internal departments and external partners to support daily operations effectively.
- Contribute to a positive and collaborative work environment by responding promptly to administrative needs.
QUALIFICATIONS & REQUIREMENTS
Education:
Diploma or certification in Office Administration, Business Administration, or related discipline.
Experience:
- Minimum 2–4 years of administrative experience, preferably in a construction or industrial project setting.
- Experience supporting project teams, field operations, or document-heavy workflows is an asset.
Technical Skills:
- Proficiency in Procore is a must.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with other document management systems (e.g., SharePoint) is a strong advantage.
- Strong typing, formatting, and document organization skills.
Soft Skills:
- Highly organized with strong attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask, prioritize, and adapt to changing demands.
- Positive, service-oriented mindset with a proactive approach to problem-solving.
Certifications (a plus):
- Office administration or project coordination certifications.
- Training in document control or construction administration techniques.
