Administrative Coordinator
POSITION OVERVIEW
Bastian Capital Partners Ltd. is seeking a highly organized and efficient Administrative Coordinator to support our dynamic team. The ideal candidate will play a crucial role in the smooth operation of our office by managing administrative tasks, event, social media and sponsorship planning and providing exceptional support to, primarily our Managing Partner, but also all staff, and contributing to the overall success of our company. This can be a full or part time position
KEY RESPONSIBILITIES
- Perform general administrative duties such as answering phone calls, managing correspondence, and maintaining office supplies
- Coordinate and schedule meetings, appointments, and travel arrangements for executives and staff
- Prepare and edit documents, reports, and presentations with a high level of accuracy
- Manage and organize files, both physical and electronic, ensuring ease of access and confidentiality
- Recommend solutions to increase the efficiency and effectiveness of office organization
- Assist in the preparation of financial documents and reports
- Support the human resources department in administrative tasks, including recruitment processes and employee onboarding
- Coordinate company events, meetings, and social activities
- Coordinate, develop and maintain social media and website content
- Handle sensitive information with discretion and maintain a high level of confidentiality
- Provide exceptional customer service to clients and visitors
- Collaborate with various departments to ensure seamless operations and communication
QUALIFICATIONS
- High school diploma or equivalent; additional certification in office administration is a plus
- Proven experience as an administrative assistant or in a similar role
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Ability to multitask and prioritize workload effectively
- Attention to detail and a high level of accuracy
- Professional demeanor and strong interpersonal skills
- Ability to work independently and as part of a team
- High level of integrity and commitment to maintaining confidentiality
- Desire to progress in the industry of Real Estate Finance Brokerage
- Must have valid Class 5 drivers license
