Kitchener, Ontario, Canada IG Wealth management Mutual Fund Division Full time $55,000 - $65,000 per year

This contract position is for an advisor practice is located in Kitchener, ON. We provide a full range of financial products and services to clientele throughout the Waterloo Region and surrounding areas.

Role Description

The Administrative Assistant provides complete administrative support as well as develops,

implements and maintains support systems, while operating in a fast-paced, confidential, multi-

tasking environment. Situations may arise when variations in workloads, periodic

responsibilities, or special projects and events require overtime work for the job to be

completed.

Responsibilities

-Receive client inquiries on behalf of the Advisor and determine appropriate

course of action. This may include proactively investigating and resolving client

problems and recording the nature of the inquiry and advising the Advisor.

-Contact clients and schedule appointments for the Advisor.

-Sorting/distributing incoming mail and maintaining and updating email

correspondence; Spelling and grammar skills are a must.

-Processing/reviewing daily business transactions regarding client accounts and

managing/updating client databases;

-Demonstrated attention to detail and a commitment to quality are critical competencies for this role.

-Preparing and maintaining client files, paperwork, and meeting notes;

-Managing/updating client databases;

-Greeting clients and setting up meeting space

-Support client events by booking sites and sending marketing material to clients

and prospects.

Qualifications

-Administration Diploma or other Postsecondary degree in a relevant discipline or

equivalent experience;

-Minimum 5 years administrative experience in the financial services

industry - preferably mutual funds licenced;

-Strong computer skills with the Office 365 (Outlook, Word, Excel, Power Point) and Salesforce;

-social media skills/experience

-Customer service orientation with a demonstrated ability to interact professionally

with clients; via phone, virtual environment and in-person;

-Highly detail-oriented

-Discretion and ability to organize and prioritize multiple tasks under tight

deadlines.
