The Opportunity:
We are looking for Human Resources (HR) Assistant to join our HR Team at CUPS from January 2026 to May 2026 inclusively.
This position is 30 hours per week, Monday to Friday, with daily hours finalized at the time of hire.
The HR Assistant plays a key role in supporting the full spectrum of human resources operations at CUPS. In this position, you will ensure smooth recruitment and onboarding experiences for applicants and leaders by coordinating interviews, administering reference and background checks, preparing offer letters and contracts, and coordinating all orientation and training activities. You will be responsible for creating, maintaining, and safeguarding confidential employee records with accuracy and compliance. As the primary owner of the HR email account, you will respond to internal and external inquiries and redirect correspondence as needed.
This role plays a vital part in enabling our HR team in delivering efficient, organized, and professional services, and success requires the ability to handle a high volume of tasks while maintaining exceptional attention to detail.
LOCATION: CUPS Main Site (10th Ave & 9th Street SW) and Administrative Office (10th Ave & 8th Street SW) Calgary
REPORTS TO: Director, Human Resources
CONTRACT TYPE: Temporary 5 months
SCHEDULE: Mon to Fri, 30 hours per week
STARTING SALARY $41,616 – $43,676
Key Responsibilities
- Coordinate the recruitment process by posting internal and external job postings, scheduling interviews, and completing reference and background checks.
- Support onboarding by distributing and collecting new hire packages, initiating notifications to organizational support units, and coordinating orientation activities.
- Coordinate mandatory training programs and track records of completion.
- Prepare and manage employee contracts, including new hires, status changes, and contract updates.
- Create, maintain and safeguard employee records, ensuring accuracy and compliance with company standards.
- Serve as primary owner of the HR email account, responding to internal and external inquiries and redirecting correspondence as appropriate.
- Support other administrative tasks as required.
What You Bring:
- 1-3 years of experience in a Human Resources Administrative or Coordinator role
- Experience coordinating recruitment activities is an asset
- Post-secondary certificate or diploma in a related field
- Excellent verbal and written communication skills,
- Strong attention to detail and dedication to accuracy
- Exceptional organizational skills and experience managing competing priorities
- Proven critical thinking and execution skills
- Demonstrated intermediate skill in MS Office products
- Previous experience with HMIS/Payroll systems a strong asset
