Position Summary

The Front Desk / Administrative Coordinator plays a vital role in ensuring smooth daily operations at the collision repair center. This position acts as the first point of contact for customers, supports the production team with accurate documentation and parts handling, and manages essential administrative tasks. The ideal candidate is organized, detail-oriented, customer-focused, and able to multitask in a fast-paced environment.

Key Responsibilities Customer Service & Front Desk Operations

  • Greet customers promptly and professionally, providing a positive first impression of the repair center.
  • Answer phone calls, schedule appointments, and provide updates on repair status.
  • Assist customers with drop-off and pick-up processes, including reviewing paperwork and answering questions.

Estimating & Repair Order Management

  • Read and understand repair estimates, including parts, labor, and supplemental items.
  • Open, update, and close Repair Orders (ROs) accurately within the management system.
  • Communicate with technicians and estimators to ensure RO documentation is complete and up to date.

Parts Ordering & Receiving

  • Order parts based on approved estimates and verify accuracy prior to ordering.
  • Receive incoming parts, inspect for correctness and quality, and update inventory or RO records.
  • Communicate with suppliers regarding returns, delays, or incorrect shipments.

Administrative Support

  • Maintain organized files and digital records, ensuring all documentation is accurate and current.
  • Prepare customer authorization forms, invoices, and insurance communication paperwork.
  • Handle payments, receipts, and daily cash reconciliation.
  • Support management with general office operations and workflow coordination.

Multitasking & Workflow Coordination

  • Balance front-desk responsibilities while assisting technicians, estimators, and customers as needed.
  • Prioritize tasks efficiently to keep repair processes moving smoothly.
  • Proactively identify gaps in communication or workflow and help resolve them.

Qualifications

  • Experience in a collision repair center, automotive dealership, or service-related environment preferred.
  • Ability to read and interpret collision repair estimates.
  • Strong knowledge of parts ordering and receiving procedures.
  • Excellent customer service and communication skills.
  • Proficient with repair management software (CCC, Mitchell, etc.) a plus.
  • Strong organizational skills with the ability to multitask effectively.
  • High attention to detail and accuracy.
