Receptionist/Administration

We are seeking a friendly, organized, and proactive Reception & Administrative Assistant to join our team. This role is the first point of contact for our clients and is crucial in ensuring a smooth, professional, and welcoming experience. You will handle client communications, administrative tasks, and help keep the clinic running efficiently.
Key Responsibilities:
- Greet clients warmly and provide an exceptional customer experience.
- Manage appointment bookings, confirmations, and cancellations.
- Answer phone calls, emails, and direct inquiries professionally and promptly.
- Maintain client records, files, and ensure confidentiality.
- Assist with billing, processing payments, and insurance documentation (if applicable).
- Support team members with administrative tasks and clinic organization.
- Ensure the reception area is clean, welcoming, and fully stocked.
Qualifications:
- Previous experience in a receptionist or administrative role, ideally in a medical or spa setting.
- Marketing experience.
- Excellent communication and interpersonal skills.
- Highly organized with attention to detail.
- Ability to multitask and remain calm under pressure.
- Professional appearance and demeanor.
- Comfortable using scheduling software and basic office technology.
