We are seeking a friendly, organized, and proactive Reception & Administrative Assistant to join our team. This role is the first point of contact for our clients and is crucial in ensuring a smooth, professional, and welcoming experience. You will handle client communications, administrative tasks, and help keep the clinic running efficiently.

Key Responsibilities:

  • Greet clients warmly and provide an exceptional customer experience.
  • Manage appointment bookings, confirmations, and cancellations.
  • Answer phone calls, emails, and direct inquiries professionally and promptly.
  • Maintain client records, files, and ensure confidentiality.
  • Assist with billing, processing payments, and insurance documentation (if applicable).
  • Support team members with administrative tasks and clinic organization.
  • Ensure the reception area is clean, welcoming, and fully stocked.

Qualifications:

  • Previous experience in a receptionist or administrative role, ideally in a medical or spa setting.
  • Marketing experience.
  • Excellent communication and interpersonal skills.
  • Highly organized with attention to detail.
  • Ability to multitask and remain calm under pressure.
  • Professional appearance and demeanor.
  • Comfortable using scheduling software and basic office technology.
