Position: Data Entry Administrator

Reporting to the Sr. Manager of Sales and Marketing, with dotted line responsibilities to the Senior Administrator, Ontario, this position is responsible for supporting the Senior Administrator and the Sales and Marketing team on an administrative level, as it relates to the Outreach and Computer for Schools Plus program.

Main Responsibilities:

Data Entry

  • Receive weekly Outreach Customer List (CRMs) and Computer for Schools Customer List (CRMs) from Community Engagement Leads and verify CRMs against orders listed in the Production schedule
  • Creates Group Codes for Outreach group orders
  • Create SAGE records for all orders (Orders/National Accounts/Customer Accounts/Ship-To-Locations/Shipments
  • Verify customer lists against SAGE, checking for any duplicates
  • Creates mass customer upload file, ensuring Bill to section on customer profile is correct and matches invoices
  • Uploads ship to location file to SAGE
  • Reviews each client against payment to ensure client is in the correct group and made correct payment
  • Compare original group order list against applicant list from SAGE, to ensure no one is missed
  • Create SAGE orders for any missed orders – ensuring copies are created for both production and finance package
  • Creates production and finance package and includes payments, and reviews final package to ensure accuracy prior to passing to Sales/Marketing Administrator

Customer Service

  • Responds to emails regarding the various program's inquiries in a timely manner
  • Responds to internal emails/Teams messages from RCT Staff

Finance

  • Generates daily Finance Report and sends to the Finance Department every morning

General Administration

  • Assist Community Engagement Leads when needed (Research/Client Information/ Input/Create Customer Accounts/Orders/Applicant Lists etc.)
  • Perform all basic admin work as required (Printer work/scanning, ordering supplies from Finance etc.)
  • Support walk-in clients with information as needed
  • Periodically updating our Standard Operating Procedures, as required by the Sales/Marketing Team
  • Attend team meetings, scheduled and as needed
  • Train and assist with questions from the Receptionist, as needed

  • Can maintain repetitive tasks with a high degree of accuracy
  • Proficiency with computer programs such as Microsoft Excel and data management software
  • Open communication
  • Dealing with completing timelines
  • Adhering to strict deadlines and meeting department Key Performance Indicators (KPIs), weekly
  • Ability to focus on Data Entry for approx. 6 hours, daily

Qualifications/Experience

  • Some office experience
  • 1 year experience as Data Entry Clerk
  • Customer service experience
  • Working in a fast-paced environment
  • Working in a team environment
  • Minimum high school diploma required

Salary: $37,821.60/year
