Echo Hearing Care is a growing audiology clinic dedicated to providing high-quality hearing healthcare services. We help patients achieve better hearing and improve their quality of life through exceptional clinical care, patient education, and a warm, supportive environment.

We are seeking a highly organized, detail-oriented, and experienced Medical Office Assistant to join our team. This role supports the audiologist, coordinates appointments, manages clinic operations, and provides outstanding patient service.

This is not an entry-level role. Only candidates with clinic, administrative, or MOA experience will be considered.

Responsibilities

Patient Care & Communication


• Answer phone calls, respond to inquiries, and support patients with professionalism and warmth


• Communicate clearly with individuals with hearing loss and offer reassurance as needed


• Greet and check in patients, maintaining a welcoming clinic atmosphere


• Provide general information about hearing aids, appointments, and clinic procedures

Scheduling & Clinic Workflow


• Schedule and confirm appointments; manage daily and weekly calendars


• Coordinate follow-ups, fittings, assessments, and hearing aid appointments


• Manage reminders, cancellations, and rescheduling efficiently


• Support clinic flow to ensure punctuality and minimize bottlenecks

Administrative & Clinical Documentation


• Maintain accurate EMR charts and patient records


• Prepare patient forms, invoices, referral letters, and assessment documents


• Assist with scanning, filing, and organizing digital records


• Support daily operations through strong organization and attention to detail

Billing, Insurance & Third-Party Processing


• Process payments for exams, hearing aids, and accessories


• Submit invoices and documentation to third-party funders


• Ensure accurate billing, reconciliation, and end-of-day closing


• Track pending claims and follow up as needed

Hearing Aid & Technical Support


• Perform basic hearing aid cleaning, troubleshooting, and small repairs (training provided)


• Track incoming/outgoing repairs, replacements, molds, and loaners


• Manage orders, returns, warranties, and accessory inventory


• Prepare devices, molds, and supplies to support the audiologist

Clinic Operations & Marketing Support


• Maintain a clean and organized clinic; ensure rooms are fully stocked


• Assist with basic marketing tasks (referral kits, screening materials)


• Support coordination of community presentations and events


• Provide general administrative support to ensure smooth operations

Qualifications

Required


• 2+ years customer service experience, OR 1+ year clinic/medical administrative experience


• Excellent organizational skills and attention to detail


• Strong verbal and written communication skills


• Proficiency with Microsoft Office / Office 365


• Ability to type 55–60 WPM


• Comfortable handling small technical devices

Preferred


• Medical Office Assistant or clinical office experience (audiology, dental, optometry, physio)


• Experience with EMR systems (Blueprint Solutions is an asset)


• Experience working with seniors or individuals with disabilities
