POSITION: Scene Ideas Inc. is seeking a detail-oriented and proactive Fabrication Coordinator to support our production and operations teams. Reporting to the Scenic Shop Manager, the Fabrication Coordinator will play a key role in managing material procurement, sourcing all construction materials and specialized parts, scheduling labor, and interdepartmental communication to ensure the efficient execution of scenic fabrication projects.

This individual will be responsible for coordinating the day-to-day logistical components of multiple projects, including tracking labor and materials, managing purchase orders, supporting procurement, and liaising between departments to ensure all project requirements are clearly communicated and executed. This role also involves occasional site support and adherence to safety protocols.

We are looking for a highly organized, adaptable, and collaborative team player who thrives in a fast-paced production environment. The ideal candidate will have strong problem-solving skills, a hands-on approach, and the ability to manage multiple priorities while maintaining a high level of accuracy and professionalism. While this position is primarily office-based, occasional work on job sites may be required depending on project needs.
MUST HAVE:
  • Experience in a scenic fabrication shop or similar custom fabrication environment. 
  • Experience in a construction setting as a buyer or procurement position.
  • Must have an strong understanding of building materials, such as lumber, plywoods, fasteners, paints, etc.
  • Eligibility to work in Canada: Must have the legal right to work in Canada, such as a valid work permit or permanent residency.
  • Must be based in a commutable distance from Richmond, BC V6X 2P1.
  • Good computer skills with Microsoft 365 experience (MS Teams, Word, Excel, other 365 products). Have aptitude/ability to learn software applications such CRM, Logistics, Quotation, Inventory applications and SaaS.
  • Must possess and maintain a valid driver's license with clean driving record.

OBJECTIVE: To assist in the timely and efficient coordination of custom scenic projects, including the sourcing and buying of materials, scheduling labour, and dissemination of related information and details to all relevant parties.

GENERAL DUTIES:
  • Work in conjunction with the Operations and Sales teams to coordinate labour and materials for upcoming projects.
  • Work with the Scene Shop & Warehouse Manager to track and record all material usage and assign to specific projects.
  • Work with the Scene Shop Manager to track and input all shop crew hours and assign time to specific projects.
  • Work with the Scene Shop Manager to source and coordinate Purchase orders for building, shop and warehouse materials as needed.
  • Source and procure vendors as needed and update supplier database.
  • Source and Procure all materials and supplies for custom fabrication projects.
  • Attend operations and project meetings as required.
  • Work with the Scene Shop Manager to maintain weekly status reports.
  • Manage the workflow related to equipment rentals required by the scene shop or warehouse to complete pull sheets and job preps.   
  • Act as liaison between fabrication shop, print shop and warehouse to maintain and manage an open line of communication between these different departments.
  • Estimate and establish deadlines as needed regarding inventory requirements or cross rentals.
  • Source and obtain quotes for supplies and cross rentals as needed.
  • Identify any issues that need clarification from sales team or clients prior to order being pulled by warehouse.
  • Work in conjunction with operations team to develop, improve and implement best  practices for better work flow.
  • Assist Project Manager on site when needed.
  • Coordinate with the Operations Coordinator as required to ensure logistics and trucking needs are covered. 
  • Follow and maintain safety standards and procedural guidelines as required.  
  • Contribute to a positive, professional, and team-oriented atmosphere.
  • Other duties as assigned.

SKILLS & EXPERIENCE REQUIREMENTS:
  • Minimum of five (5) years of professional experience in a similar position.
  • High school diploma or equivalent.
  • Strong computer skills on PC and Mac including great working knowledge of Microsoft Office.
  • High aptitude for learning new computer programs / software.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Capacity to establish priorities and work under pressure.
  • Flexibility and adaptability to changing workloads.
  • Excellent customer service skills.
  • Ability to liaise well with others and work within a team.

SCHEDULE:
  • Schedule is based on a 40-hour work week.
  • Office hours are Monday to Friday from 7:30 am to 4:00 pm with evenings, weekends, and overtime on job sites as necessary.
  • This position will primarily take place in our office/shop in Richmond however there are requirements to work safely offsite at job sites as required by our projects.

REMUNERATION:
  • A salaried position of $58,000 to $64,000 annually, pending experience.
