The Office Manager at Bird's Ellwood office in Edmonton plays a pivotal role in ensuring the smooth and efficient operation of the district office. This role is responsible for managing day-to-day administrative functions, supporting leadership, and fostering a collaborative and professional office environment. The Office Manager is a key liaison between internal teams and external stakeholders, upholding Bird's Purpose and Values and commitment to excellence.

The role reports to the Vice President/District Manager, Northern Alberta Buildings Group.

What You Will Be Working On

  • Manage office facilities, office overheads, and vendor relationships
  • Liaise with Property Manager and oversee facility maintenance and building services
  • Conduct performance plans, assessments, and contribute to the recruitment, mentoring, training, and performance management of direct reports
  • Lead by example and ensure direct reports meet or exceed required Bird learning hours
  • Monitor direct reports' vacation balances and ensure compliance with company policies
  • Administer security systems, access controls, and emergency response plans
  • Provide administrative and financial support, including invoice processing
  • Coordinate onboarding, professional headshots, workspace setup, and employee recognition programs
  • Plan and execute internal events, meetings, recognition gifts, and engagement activities
  • Support corporate initiatives, shared services, and team transitions
  • Ensure safety compliance through inspections, drills, and committee participation
  • Maintain district distribution lists
  • Handle licensing renewals and legal documentation
  • Miscellaneous duties as required for Vice President/District Manager (vehicle rentals, etc.)
  • Promote a professional office image and stakeholder communication

What We Are Looking For

  • 5+ years' experience in the capacity of Office Manager or senior administrative role supplemented by other aspects of office management including experience in facility management
  • Proficiency with Microsoft Office Suite (including, Excel, Word, Outlook, PowerPoint) required
  • Proven ability to demonstrate high level of confidentiality, including tact and discretion in preparing, disclosing and handling information of a sensitive nature
  • Ability to forge, grow and maintain positive relationships both internal and externally
  • Ability to manage multiple priorities simultaneously and meet the time demands of unpredictable activities, capable of handling pressure and challenges in a dynamic business environment
  • Strong analytical, critical thinking, troubleshooting, problem-solving skills, and a high degree of accuracy and attention to detail
  • Highly developed interpersonal, communication, and organizational skill
  • Demonstrate the attributes of the Ideal Team Player – Hungry, Humble, and Smart
