JOB PURPOSE:
Reporting to the Centralized Programs Manager, the Operations Coordinator is responsible for providing operational and administrative support to the Operations Team with a variety of daily and project-based tasks. This role requires someone who enjoys switching gears often, thrives in a dynamic environment, and is passionate about improving processes and team efficiency.

PRINCIPAL RESPONSIBILITIES: Operational Support Duties:Create, maintain, and distribute operational compliance documentation such as clinic standards. Identify opportunities to streamline workflows and improve operational efficiency.Maintain policy and operations manual for the department.Provide supplementary support to the Regional Operations Managers as required. Provide continuous support to the Operations team in preparing documentation, data entry, reports and various correspondence as required.Liaise with other business units to coordinate tasks related to clinic operational programs for effective program execution.Develop and maintain scoring checklists to monitor operational compliance.Provide confidential administrative support to the management team and department staff.Review and remittance of Certificates of Insurance to applicable lease holdersProcesses clinic chart requests for archived chartsMaintains, creates and updates internal clinic signageCustomer/Patient Service:Monitor the general Medicentres inquiries email and forwards content to appropriate person to respond.
Project Support:Organizes archiving retention and disposition of recordsCompletion of special projects as assignedTrack follow-ups and deadlines from meetings and projects to ensure timely executionSupporting operations team members with ad hoc projects as required KNOWLEDGE, SKILLS AND EXPERIENCE:Diploma or Degree in Business administration or comparable education and experience in a related field.Passion for continuous improvement and innovationMinimum 2 years of experience in an administrative support roleComfortable working in ambiguity and adapting to changing prioritiesIntermediate proficiency in Word and PowerPointMust have at least an intermediate proficiency in Excel, including the use of formulas, x-lookup, and pivot tables for data manipulation and report generationExcellent organization, prioritization and problem-solving skillsStrong written and verbal communication skillsAbility to handle sensitive and confidential information with discretionAttention to detailA strong ability to work with minimal supervision in a team environmentCONTEXT AND ENVIRONMENT:This role suits someone who enjoys variety, embraces change, and finds satisfaction in making things better for the teamMust be able to work in a fast-paced environment that requires the ability to accommodate changes in routine to account for urgent department requests/meetings.The ability to prioritize on an as need basis.Deals with external customersSome physical lifting required when organizing/pulling archived chartsWe appreciate your interest in working Medicentres Canada.
