Position Title: Bus Monitor / Guide
Reports To: Sales Manager
Position Overview
The Bus Monitor / Guide plays a vital role in ensuring the safe, secure, and respectful transportation of students between authorized pickup and drop-off locations. In coordination with the Bus Driver, School Administration, parents/guardians, and the Ministry (TCPA), this position supports students with diverse physical, behavioural, medical, or communication needs during transit. The role requires proactive supervision, sound judgment, clear communication, and strict adherence to established safety, behavioural, and emergency protocols.
KEY RESPONSIBILITIES
Student Supervision & Safety
- Proactively monitor student behaviour and well-being throughout the route, ensuring compliance with safety rules and seating expectations.
- Provide support to students with special needs in alignment with approved care instructions and Ministry guidance.
- Prevent unauthorized disembarkation — students may only exit at designated locations or with driver/dispatch approval.
- Remain alert and attentive to student safety, behaviours, and signs of distress.
- Report immediate safety risks, behavioural concerns, or medical incidents to dispatch and/or school officials.
Pickup & Drop-Off Assistance
- Assist students during vehicle boarding and exit, including those requiring mobility support or physical guidance.
- Verify that a parent/guardian or authorized individual is present at drop-off locations.
- In cases where no authorized adult is present:
- Notify dispatch immediately;
- Remain with the student(s) inside the vehicle;
- Follow all dispatcher instructions;
Never leave students unattended.
Incident, Emergency & Medical Support
- Assist with emergency procedures and bus evacuations as required.
- Provide limited, pre-approved medical assistance based on parent/guardian and Ministry direction.
- Support emergency response for anaphylaxis in accordance with EpiPen training and Ministry safety protocols.
- Immediately report all medical events, injuries, behavioural incidents, or emergency situations through the required reporting channels.
Communication, Documentation & Reporting
- Maintain professional communication with dispatch, school staff, parents/guardians, and the Ministry when appropriate.
- Report delays, cancellations, safety issues, behavioural concerns, or route disruptions.
- Use only approved communication channels (e.g., dispatch phone, text, email, radio).
- Complete written reports for:
- Anaphylactic incidents
- Safety concerns
- Behavioural incidents
- Medical emergencies
Vehicle & Safety Checks
- Assist the driver in confirming all students have safely exited the vehicle at final destination.
- Check seats and aisles for personal belongings or items that may pose a hazard.
- Maintain a safe environment free of obstructions throughout the route.
Required Qualifications
- Successful Criminal Record Check and Vulnerable Sector Screening.
- Certification in Emergency First Aid and CPR (Red Cross, St. John Ambulance, or equivalent).
- EpiPen training and annual vehicle safety/emergency procedure training.
- Ability to communicate clearly in English.
- ASL communication is required when assigned to students who are deaf or hard of hearing.
- Ability to communicate with students who rely on text or non-verbal communication methods.

- Capable of safely lifting and maneuvering mobility devices and supporting students with physical assistance.
- Reliable, punctual, and committed to safety and professionalism.
- Ability to work independently while following structured procedures.
Additional Expectations
The Bus Monitor / Guide may be required to:
- Work early mornings, afternoons, and split shifts.
- Travel on multiple assigned routes.
- Assist with luggage and personal items when required.
- Attend annual safety and Ministry-directed training.
- Enforce no food/drinks on the vehicle unless a medical authorization is provided.
What This Position Will Not Do
- Permit unauthorized drop-offs or route deviations.
- Allow students to exit without driver or dispatch authorization.
- Take instructions that conflict with Ministry, school, or dispatch direction.
- Discuss seat availability, schedule changes, or route arrangements with parents/guardians.
Working Conditions
- Work is performed inside a school bus environment with exposure to seasonal weather during boarding and exiting.
- May be required to remain with students in situations involving mechanical delays, emergencies, or disruptions.
- Frequent sitting, occasional lifting, and supporting students or mobility devices as required.
