Role Description

This is a full-time on-site role for a Clinic Front Desk Supervisor located in Etobicoke, ON. The role involves supervising front desk operations, ensuring excellent customer service and satisfaction, managing receptionist duties, and maintaining professional communication via phone to assist clients. Additional responsibilities include training and overseeing front desk staff, monitoring daily activities, and ensuring smooth clinic operations.

RESPONSIBILITIES:

  • Lead and supervise office staff, fostering a positive and collaborative team environment.
  • Manage all front desk operations, including greeting visitors, coordinating inquiries, and maintaining high standards of phone/email etiquette.
  • Oversee HR functions such as recruitment, onboarding, scheduling, employee relations, and performance development.
  • Process payroll accurately and on time, ensuring compliance with company policies.
  • Maintain bookkeeping and financial records using QuickBooks; support budgeting, banking, cash flow, invoicing, and billing tasks.
  • Ensure efficient and compliant office operations within established SOPs and company policies.
  • Handle administrative duties including filing, data entry, documentation, and records management.
  • Develop and implement staff training and development programs.
  • Manage billing, invoicing, and payment processing for WSIB, MVA, private insurance, and other third-party payers; communicate with adjusters and insurers as required.
  • Provide management support across all departments and assist the Director/President with marketing and advertising initiatives.
  • Utilize EMR systems in a paperless office environment (training provided).

QUALIFICATIONS:

  • Proven experience in office management or administrative leadership.
  • Strong supervisory skills with a focus on team development and performance.
  • Proficiency in QuickBooks and familiarity with bookkeeping and payroll processes.
  • Excellent organizational, multitasking, and time-management abilities.
  • Strong written and verbal communication skills, with professional interpersonal abilities.
  • Skilled in administrative duties such as filing, documentation, and data management.
  • Strong computer skills and comfort with EMR systems.
  • Experience with MVA, WSIB, direct billing, and portals such as HCAI/Telus is an asset.
