JOB DESCRIPTION
St. Pius X Elementary is seeking an organized and detail-oriented Bookkeeper to join our team. Paid, on the job training will be provided prior to the start date of employment. It is a Part-Time position (appx. 2 to 3 days a week)
Successful candidates should have bookkeeping skills and experience, a good working knowledge of Excel, Sage50, online payroll processing and receivables (PAD)/payables (EFTs), in addition to good communication skills, a self-starter attitude, a positive-minded team player willing to work closely with the School Accountant.
The successful candidate will be responsible for:
Receipts
- Preparation of deposits and supporting documentation for School general and fundraising bank
accounts
- Processing of Tuition, and other Student fees, and Fundraising events, detailing of PAD
transactions and Miscellaneous Cash collections
Disbursements
- Preparation of invoices and reimbursements for coding by the School Accountant.
- Recording of invoices and reimbursement transactions in Sage 50 for School general and
fundraising accounts
- Preparation of EFT and cheque payments with supporting documentation for payment of invoices
and reimbursements
Payroll
- Preparation of semi-monthly excel spreadsheet for payroll and online input to ADP Team Pay, set
up of new Staff, reconciliation of ADP payroll registers and preparation of ROEs
Student Tuitions and Fees
- Maintain spreadsheets of student categories and fees for Tuition, Registration, Curriculum, and Outdoor school in Master Tuition spreadsheet
- Maintain records of School Parents' PAD authorization forms
- Reconciling Master Tuition spreadsheets for various fees and student numbers
- Preparation of calculation of Annual Tuition tax receipts spreadsheet
Other
- Preparation of spreadsheet and documentation for submission to St. Pius X Parish for Fundraising
donation receipts (other than Runathon)
- Aid School Accountant as required
- Liaise with School secretary
