Position Overview
The Real Estate Assistant & Business Manager is a hybrid operational role supporting both the administrative and strategic functions of a real estate business or team. This position ensures smooth daily operations, oversees transaction coordination, manages business systems, and supports growth, marketing, and financial performance.
The ideal candidate is highly organized, proactive, detail-oriented, and comfortable balancing both administrative tasks and higher-level management responsibilities.
Key Responsibilities
Administrative & Transaction Support
- Schedule showings, client meetings, inspections, and other appointments.
- Prepare and organize documents for listings, offers, lease agreements, and closings.
- Maintain CRM & Fintrac systems and ensure client records are complete and up to date.
- Track transaction deadlines, compliance requirements, and paperwork accuracy.
- Draft property descriptions, manage listing uploads, and coordinate with MLS.
- Handle phone calls, emails, and general client communications professionally.
Operations & Business Management
- Develop, refine, and maintain business systems and workflows for efficiency.
- Oversee budgets, expense tracking.
- Produce weekly or monthly business performance reports for the team lead.
- Monitor lead generation systems, track conversion rates, and analyze operational data.
- Maintain compliance with brokerage policies and real estate regulations.
Marketing & Brand Management
- Manage social media content, newsletters, and marketing campaigns.
- Coordinate listing marketing materials with photographers, stagers, and vendors.
- Assist in developing marketing strategies to increase brand visibility.
- Maintain consistency in branding across all platforms.
Client & Vendor Coordination
- Serve as a point of contact for clients, lenders, lawyers, inspectors, and service providers.
- Build strong professional relationships with vendors and partners.
- Ensure a smooth and positive client experience from first contact to closing and after.
Required Skills & Qualifications
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- High attention to detail and ability to manage sensitive information confidentially.
- Comfortable with real estate software (CRM platforms, MLS systems, transaction software).
- Ability to work independently and prioritize multiple tasks.
- Problem-solving mindset with initiative and leadership ability.
- Strong competency with spreadsheets, financial tracking, and reporting tools.
Required Experience
- 2+ years of experience in real estate administration, business operations, office management, or a related field.
- Experience with customer service or client-facing roles.
- Marketing or social media management experience is an asset.
- Prior experience in a real estate brokerage or team environment is strongly preferred.
Preferred Certifications
- Office Administration Certificate or Business Administration Diploma
- Project management coursework or certification (e.g., CAPM)
- Bookkeeping or accounting certifications (e.g., Xero, QuickBooks)
Salary Range
- $21 - $26 / hr dependent on experience
- Annual Performance-based bonus available
Job Types: Part-time, Permanent
Pay: $19.00-$24.00 per hour
Expected hours: 20 – 30 per week
