Job Description

We are seeking a highly motivated and organized individual to join our team as an Administrator in the maintenance department.

The ideal candidate will possess excellent communication skills, both written and verbal, and have strong computer skills with intermediate abilities in Microsoft Office, specifically Excel.

The successful candidate will be responsible for handling inbound calls, reviewing expense reports, and maintaining accurate records of inventory and work orders.

Additionally, the candidate will be expected to prepare invoices for customers, inspect deliveries, and submit warranty claims through manufacturers' websites.

Requirements include a minimum of 2+ years of experience in a coordination role, preferably in the service and repair industry, and familiarity with standard concepts and best practices in a stockroom or warehouse environment.

Automotive/maintenance knowledge is an asset, and the ability to multi-task and thrive in a fast-paced dynamic work environment is essential.

Key Responsibilities:
  • Handle and respond to inbound calls for internal and external repairs/service
  • Review expense reports from mechanics for approval
  • Maintain accurate and real-time statuses on all work being performed in the shop
  • Manage receipts, records, and withdrawals of the stockroom
  • Inspect deliveries for accuracy, damage, or discrepancies and report any issues to supervisor
  • Prepare invoices for customers and send for deductions
  • Submit warranty claims through manufacturers' websites and follow up with claims
Required Skills and Qualifications:
  • Strong computer skills, with intermediate abilities in Microsoft Office, specifically Excel
  • Excellent communication skills in English, both written and verbal
  • Familiarity with standard concepts and best practices in a stockroom or warehouse environment
  • Minimum 2+ years of experience in a coordination role, preferably in the service and repair industry
  • Automotive/maintenance knowledge is an asset
