The Opportunity
We're seeking an exceptional Executive Assistant & Project Manager who brings executive-level sophistication with the operational muscle to drive complex initiatives forward. This is a strategic partner role for someone who has mastered the art of executive support while simultaneously leading cross-functional projects that impact the entire organization. You'll be the CEO's trusted right hand and a force multiplier across the company—someone who can manage the CEO's world with precision while orchestrating enterprise-wide initiatives that require diplomacy, strategic thinking, and flawless execution.
This isn't a traditional EA role. We're looking for someone with the polish and business acumen to represent leadership in high-stakes situations, the project management expertise to drive strategic initiatives from concept to completion, and the operational savvy to optimize systems and processes across the organization. What You'll DoExecutive Leadership Support (40%)
- Serve as the CEO's strategic partner and chief of staff: manage complex calendars, anticipate needs, and ensure the CEO is always positioned for success
- Act as a trusted proxy in executive meetings, representing the CEO's interests and ensuring follow-through on key decisions
- Manage sophisticated stakeholder relationships across global teams, clients, investors, and partners with diplomacy and discretion
- Prepare executive-level briefing materials, presentations, and strategic communications for board meetings, investor relations, and key partnerships
- Orchestrate complex international travel arrangements, including multi-country itineraries, global mobility considerations, and event logistics
- Serve as gatekeeper and communications hub—triaging priorities, managing information flow, and ensuring nothing critical falls through the cracks
Strategic Project & Operations Management (40%)
- Lead and deliver high-impact cross-functional projects spanning operations, finance, legal, product, and business development
- Develop comprehensive project plans: define scope, build timelines, identify dependencies, assign ownership, and establish governance frameworks
- Drive accountability across teams: track milestones, manage risks, remove blockers, and escalate issues strategically
- Implement and optimize operational processes, policies, and systems to improve efficiency and scalability
- Manage vendor relationships, contract negotiations, and partnership coordination
- Support business continuity planning, resource allocation, and strategic planning initiatives
- Build and maintain project dashboards and executive reporting frameworks that provide visibility into organizational progress
Strategic Initiatives & Special Projects (20%)
- Own special initiatives that require executive oversight: company events, internal communications, change management, or strategic partnerships
- Coordinate board meetings and investor relations activities, including materials preparation and follow-up
- Drive organizational alignment through clear communication, documentation, and stakeholder management
- Support the CEO in ad hoc strategic projects, due diligence activities, or business development opportunities
- Serve as a bridge between leadership and teams, ensuring clarity, alignment, and execution excellence
Who You AreRequired Experience & Qualifications
- 8–15 years of progressive experience
in executive assistance, project management, operations, or corporate administration roles, ideally supporting C-suite executives in fast-paced, international business environments - Proven project management expertise
: demonstrated success leading complex, cross-functional initiatives from planning through execution - Bachelor's degree required; MBA, PMP, or relevant graduate degree strongly preferred
- Experience working across international organizations with diverse stakeholders and cultural contexts
- Exceptional executive presence and judgment—comfortable representing leadership in high-stakes situations

Technical Skills
- Advanced proficiency in Microsoft Office Suite and Google Workspace
- Experience with project management platforms (Asana, Notion, , Trello, or similar)
- Familiarity with budget management and financial planning
- Comfortable learning new technologies and systems quickly
Preferred Qualifications
- Experience in high-growth tech companies, startups, or healthcare/medtech environments
- Background in consulting, operations, or business management
- Experience managing global mobility, travel programs, or international operations
- Multilingual capabilities (particularly Mandarin) a plus
- Exposure to venture-backed companies or investor relations
