About the Role – What We Are Looking For

This is a permanent role with opportunities to grow within a collaborative team and gain deeper exposure to law firm financial operations. In this role, the Billing & Accounting Coordinator will work closely with PH's Firm Manager to manage firm's billing processes, ensuring accurate and timely invoicing, and maintaining financial records. They will prepare and send client invoices and will be responsible for day-to-day support of accounting operations, including accounts receivable and accounts payable.

Compensation: $65,000- $70,000 according to experience/seniority plus: benefit coverage, personal and health spending accounts, annual bonus potential and professional development support

Hours: 9am – 5:30pm (flexible; if needed)

Experience: Minimum 5 years

Location: Partially remote (3 days/week in-office required; hybrid schedule with flexibility for occasional remote work and adjusted hours as needed)

Responsibilities

  • Billing & Accounts Receivable: Prepare, review, and issue client invoices, submit through e-billing platforms, and monitor payments.
  • Accounts Payable & Disbursements: Manage client disbursements and vendor payments accurately and on time.
  • Financial Reporting & Compliance: Assist with reconciliations, generate billing reports, and ensure compliance with LSO obligations.
  • Rate & Budget Management: Maintain rate cards, implement annual updates, and manage client budgets in e-billing systems.
  • Client Communication & AR: Handle billing inquiries and collaborate with the Firm Manager to resolve issues promptly; oversee accounts receivable follow-up.

Requirements

  • Experience with legal billing systems (i.e. Soluno) and e-billing platforms (i.e. Legal Tracker)
  • Strong understanding of law firm billing compliance
  • Tech-savvy with advanced knowledge of Outlook and Excel
  • Post-secondary education (in accounting or finance, preferably) is required
  • Proven experience as a billing clerk/accounting specialist or in a similar role, preferably in a law firm

  • Close attention to detail with strong analytical ability
  • Ability to work both independently and collaboratively
  • Client-service oriented, with excellent written, verbal and interpersonal communication skills
