Job Summary

We are seeking a detail-oriented and organized office Secretary to support our office Manager. The ideal candidate will manage daily office operations, handle correspondence/emails and assist the office Manager with daily tasks . This role requires strong clerical skills, proficiency in office software (Microsoft Word, Outlook and Excel), data entry skills and the ability to work independently. Clerical experience is a plus, but not required. Initial training will be provided.

Responsibilities

  • Answer the phone with professional phone etiquette
  • Perform data entry tasks accurately using Microsoft 11 Excel as required
  • Type letters, forms, reports, documents
  • Process incoming emails and reply to inquiries when required
  • Update and print reports
  • Maintain filing systems and organize documents for easy retrieval
  • Proofread correspondence, forms, and reports for accuracy and clarity
  • Support office operations such as copying, scanning, and mailing documents
  • Provide general clerical support to the Manager to ensure smooth office management
  • Assist Board of Directors with clerical tasks when necessary
  • Report to Manager and Board of Directors

Skills

  • Mandatory proficiency in Microsoft Office (Word, Excel, Outlook)
  • Strong data entry skills with high accuracy and attention to detail (Excel)
  • Reviewing filing records for accuracy
  • Check Excel data against source documents
  • Strong English writing skills required
  • Excellent organizational skills and ability to multitask effectively
  • Previous clerical experience an asset
  • Accurate typing skills (40 wpm) along with proofreading abilities
  • Ability to demonstrate good phone etiquette and professional communication skills
  • Familiarity with filing systems and office equipment
  • Must maintain professional conduct and respect information privacy
  • Report to the Office Manager and the Board of Directors

This position is 30 hours per week and on a temporary basis. Available immediately until December 19th 2025 with the possibility of extending into January 2026. Monday to Friday 8:30 am to 3:00 pm.
