Overall description:

The HR Excellence center mission is to enhance the interactions between employees (both new and current) and HR, and simplify the process flows within HR Operations. Within this Employee Journey focused model, the following tasks are managed end-to-end by the Excellence Center team members:

  • Employee On-Boarding for new hires, including internal and international mobility:
  • Ensure all documents are correctly generated and compliant.
  • Follow the candidates until the actual onboarding on the systems.
  • Workforce Administration Employee Data Management:
  • Responsible for the administration of employee data attributes in HR systems.
  • Ensure systems are aligned and/or reconciled.
  • Participate in reports, projects and enhancement related to data.
  • Employee Inquiries/HR case management tool:
  • Act as point of contact for HR policy questions
  • Knowledge-based content updates in the case management tool.
  • Answer queries from employees, managers and HR colleagues through the tool.
  • Data Governance
  • Perform reconciliations and monitor data integrity.
  • Ensure strict respect of Data Governance Principles across all HR IT systems and databases.
  • Support internal and external data auditing, on a regular and ad hoc basis.
  • I-9 Compliance (US only)

Responsibilities:

Process, Procedures and Projects:

  • Be involved in all continious improvement initiatives for the Excellence centre, alignment of process between North America countries when possible as defined in the Mission of the excellence centre and provide support to the Head of excellence centre and team lead in lisbon.
  • Responsible to run controls, for the Excellence Centre and provide input on improvements and incidents when needed.
  • Work in correlation with HR and External (e.g. IT…) stakeholders to ensure the processes are aligned and efficient.
  • Update internal procedures to the team to ensure clarity and efficiency of the BAU processes in cordination with Lisbon team lead.
  • Support the head of department for CIB deployed projects, Core HR, Bwelcome, CIB HR tom when needed.

Headcount validation process:

  • Perform the due diligence before each meeting to ensure the process is followed.
  • Be the main point of contact for the SPOCs of the supported business line and function.
  • Update the documentation and inform the stakeholders after the meeting.
  • Send relevant information to the different stakeholders involved as applicable.
  • Participate in the enhancement of the process with the different owners in collaboration with Head of HREC.

Case management tool Administration

  • Work and deploy enhancement and new workflow in the tool.
  • Update the knowledge base based on requests.
  • Be the main point of contact for IT incidents and enhancement on the tool.
  • Follow up with Vendor on support cases raised in the vendor portal.

Vendor Management:

  • Ensure the follow up with the vendors and escalation of issues.
  • Responsible of the administrative tasks for the vendors (accesses implementation, billing…)
  • Ensure completion of all requests within the timeline including liaising with procurement / IT departments.

Qualifications:

  • Bachelor's degree or higher in Human Resources, Business Administration, or related field-social sciences.
  • 7 to 10 years of HR experience preferred.
  • Knowledge of ERP systems, e.g. PeopleSoft, Workday, SAP.
  • Ability to adapt to changing priorities, manage multiple deliverables and work well independently and in a team environment.
  • Project management experience required.
  • Experience with HR core processes and implementing processes and procedures.
  • Excellent written and verbal communication.
  • Client service-oriented mindset.
  • Languages: English, French
  • Knowledge of the banking industry preferred.
