The Automobile Dealers Association of Newfoundland and Labrador (ADANL) is a not-for-profit trade association representing the franchised new car and light truck dealers in Newfoundland and Labrador.
ADANL is currently seeking a visionary Executive Director to guide the association forward.
The Opportunity
The Executive Director of the Automobile Dealers Association of Newfoundland & Labrador (ADANL) is responsible for solely overseeing the day-to-day operations of the organization, managing government relations, membership relations, coordinating events, handling financial and administrative tasks, and representing the association at industry and government meetings. A great deal of time is dedicated to trouble shooting situations which arise that affect the industry. Recent examples are the COVID years and now the US Tarriff uncertainty. This role requires strong organizational, communication, and leadership skills to ensure the smooth functioning of the association and the fulfillment of its objectives.

You are an experienced leader with a demonstrated track record of success in a senior-level management role. You are solutions-oriented and possess the ability to represent the association to Government, Industry Partners and Community Stakeholders, while adhering to the strict Dealer Code of Ethics as adapted by the Canadian Automobile Dealers Association (CADA). You will translate the vision into reality. Comfortability as the face of an organization and speaking with media is an important facet of the position.
Key Responsibilities:
Administrative Duties:
Collect and manage mail, bank deposits, accounts payable and receivables, bookkeeping, maintaining and sharing database of Dealer and Associate Members and keeping the database current with CADA's records.
Forward relevant correspondence from the Canadian Automobile Dealers Association and other industry contacts to members.
Maintain and update financial records, including the preparation of invoices and the tracking of payments. Ensure that Workers Compensation Reports are maintained.
Ensure that the records of the provincial government's Registry of Joint Stock Companies is kept current.
Coordinate with auditors (e.g., Noseworthy Chapman) for financial statements, T-4s, and tax submissions.
Manage phone, internet, and post office accounts, including the transferring of services as needed.
Membership Management:
Process membership applications for dealers and associate members, ensuring that approval procedures are followed.
Bill members annually (January) based on the number of cars sold.
Bill associate members annually (February) and manage exceptions for specific members.
Follow up on unpaid dues, send reminders, and escalate issues to the President or Dealer Principal as necessary.
Work on increasing membership and engaging current members.
Organize cheque presentations to charities and scholarships as per the approved budget.
Event Coordination:
Plan and execute the Annual General Meeting (AGM), including venue selection, speaker selection, reception planning, and sponsor coordination.
Prepare materials for the AGM and Board of Directors' meetings, including agendas and financial reports.
Attend Canadian Automobile Dealers Association (CADA) meetings twice a year (October and April), participate in discussions, and submit reports on ADANL activities.
Communication:
Working in conjunction with CADA, to keep members informed about industry developments and association activities.
Scholarship and Charity Management:
Administer scholarships for Georgian College automotive studies students, adhering to established guidelines.
Coordinate donations to charities, including those in memory of deceased members or their families.
Financial Oversight:
Ensure accurate billing and collection of membership fees and levies.
Manage sponsorship solicitations for events and ensure proper acknowledgment of sponsors.
Oversee the preparation and review of financial statements and budgets.
Representation:
Represent ADANL at CADA meetings and other industry events. Be the face of ADANL in the community in conjunction with the current President.
Act as a liaison between the association, its members, and external stakeholders
Qualifications:
· Strong organizational and time-management skills.
· Excellent communication and interpersonal abilities.
· Financial management and bookkeeping experience.
· Event planning and coordination expertise.
· Ability to work independently and collaboratively with members and stakeholders.
· Familiarity with the automotive industry is an asset.
· Strong problem-solving skills.
Working Conditions:
The role involves ongoing responsibilities throughout the year, with specific tasks and deadlines tied to the association's financial year (October 1 – September 30) and key events such as the AGM and CADA meetings. The time commitment is 20 hours per week; This schedule is very flexible with time demands fluctuating throughout the year. Some travel required for attendance at CADA meetings (twice a year) and other events as required.
Salary:
- The salary for the Executive Director position at ADANL will be commensurate with qualifications and experience.
