Job Summary
We are seeking a motivated and organized Receptionist/Administrative Assistant to join our team. This role is essential in booking new client consultations, providing excellent customer support and ensuring the smooth operation of our office. The ideal candidate will possess strong clerical skills, proficiency in data entry, and a friendly demeanor to create a welcoming environment for our clients.
ResponsibilitiesPrimary Responsibilities
- Respond to initial inquiries from prospective family law clients by phone, email, online forms, and in-person.
- Interview clients to obtain background information, screen for urgency and suitability, and determine the nature of their family law issue.
- Book initial consultations with lawyers, ensuring appointments are accurately scheduled and all required documentation is collected.
- Enter client information into the firm's practice management system (Clio) and maintain client records in accordance with privacy and confidentiality requirements.
- Provide general information regarding family law services, processes, fees, and what to expect during a consultation.
- Conduct basic conflict checks before setting appointments and refer unqualified inquiries as appropriate.
- Support lawyers and staff by preparing preliminary case files, onboarding new retained clients, and managing intake paperwork.
- Perform related front desk, administrative, and support tasks as assigned (such as answering calls, emailing confirmations, and maintaining appointment calendars).
- Provide administrative assistance on an as-needed basis.
- Offer incoming clients refreshments upon arrival at the office.
- Maintain the office environment and kitchen area as clean and tidy.
Required Skills and Qualifications
- Previous experience in an office environment is a must.
- Experience in a client-facing administrative role is preferred.
- Strong interpersonal, oral, and written communication skills, with empathy for stressful client situations.
- Working knowledge of Microsoft office suite, inclusive of Word, Excel, and Adobe.
- High level of organization, attention to detail, and proficiency with office software and scheduling tools.
- Ability to handle confidential information, prioritize multiple tasks, and work both independently and within a team.
Job Type: Full-time
Pay: $20.00-$25.00 per hour
