We are a leading, patient-focused dermatology and aesthetics practice seeking an organized, confident, and proactive Cosmetic Administrator to oversee daily operations of our busy cosmetic floor. Schedule: Monday to Friday, 8:00 AM – 4:30 PM

About the Role

The Cosmetic Administrator acts as the "air traffic control" of our cosmetic practice—coordinating patient flow, supporting providers, managing schedules, and ensuring each patient has an exceptional experience from start to finish. This role is ideal for someone with strong administrative and leadership skills who enjoys working in a fast-paced, team-oriented environment.

Key Responsibilities

  • Oversee the day-to-day operations of the cosmetic wing of the clinic.
  • Coordinate schedules for providers, consults, and procedures to maximize efficiency and patient satisfaction.
  • Greet and guide cosmetic patients through their visit, ensuring a premium experience.
  • Serve as the main point of contact for patient inquiries, follow-ups, and treatment coordination.
  • Support the clinical and reception teams by managing workflow and anticipating needs throughout the day.
  • Handle cosmetic treatment bookings, payments, and documentation accurately and confidentially.
  • Maintain a clean, organized, and professional front-of-house environment.
  • Assist with cosmetic inventory, product ordering, and event coordination as needed.
  • Utilize EMR and scheduling systems (experience with PS Suite is an asset but not required).

Qualifications

  • 2+ years of experience in a medical aesthetics, dermatology, or cosmetic clinic setting.
  • Proven ability to multitask, prioritize, and stay composed in a fast-paced environment.
  • Excellent communication and interpersonal skills—able to build rapport with patients and collaborate with staff.
  • Strong organizational and leadership skills; experience supervising or coordinating a team is an asset.
  • Comfortable with computers, EMR systems, and digital scheduling platforms.
  • A genuine passion for aesthetics, patient care, and operational excellence.
