As our Administration & Service Support Coordinator, you will be responsible for timely scheduling for the technicians and provide a daily administrative support to the technical services and centralized services teams through management of work orders, sales orders, invoicing, inventory control and reports.

What You'll Do:

  • Answering incoming calls, greeting walk-in customers and clients, and redirecting them to the appropriate team member.
  • Preparing correspondence, reports, and other documents.
  • Performing accounts payable and receivable processes.
  • Shipping and receiving products to support day-to-day operations and projects. (Note: This may include lifting boxes up to 65lbs)
  • Responsible for ordering materials and products from suppliers, and managing delivery dates to ensure it aligns with the project deadlines.
  • Processing work orders and generating invoices as well as, project files.
  • Assisting with other administrative and recordkeeping requirements, including maintenance of files and records in both paper and electronic form.
  • Supporting the sales, estimating, operations and other administrative team members as required.
  • Ensure safe work practices are followed safety leadership is demonstrated in all aspects of the job.

Qualifications:

  • Minimum of 2+ years' experience in a busy office environment combined with an educational background in office administration, accounting, or related discipline would be preferred.
  • Proficiency working with Microsoft Office, is a must.
  • Experience in field service administration or in the industrial and/or construction industries would be an asset.
  • Experience with using computerized purchasing and warehousing systems and/or computerized accounting systems would be an asset.
  • NOTE: All combinations of education and experience will be considered.
  • NOTE: Candidates who advance through the hiring process will be required to submit a current Certificate of Conduct and Driver's abstract.
