Role Summary
As our Receptionist, you will serve as the friendly, polished first point of contact for everyone who enters or contacts our office. You'll balance a warm, professional presence with efficient administrative support, helping our management team run smoothly and reinforcing our reputation for excellence.
What You'll Be Doing
- Greet and welcome visitors in a courteous, professional manner.
- Answer and direct incoming calls, transferring or routing as appropriate.
- Manage the multi‑line phone system and basic voicemail operations.
- Provide general administrative support: prepare correspondence, file and scan documents, maintain records, manage supplies.
- Handle incoming mail and courier deliveries and coordinate outbound shipments.
- Maintain a clean, organized and professional reception area.
- Support scheduling (e.g., meeting room bookings, calendars) and assist with light event coordination or visitor logistics.
- Occasionally assist with ad hoc tasks for the management team (e.g., data entry, reporting support, client follow‑up).
What We're Looking For
- High school diploma or equivalent; post‑secondary business/office administration training considered a strong asset.
- Minimum 1‑2 years' experience in a reception, front‑desk or administrative role — ideally in a management, professional services or corporate environment.
- Exceptional communication and interpersonal skills — you're confident, friendly, and polished.
- Strong organizational skills and the ability to manage multiple tasks and priorities with accuracy.
- Comfortable using standard office software (MS Office suite, email, calendar systems) and a multi‑line phone system.
- A professional appearance, positive attitude and customer‑service mindset.
- Availability to work standard business hours (Monday to Friday) with occasional flexibility.
- Reliable, punctual and a team player.
