The Position
WVIP is seeking a highly organized and detail-oriented
Administrative Assistant
to join our Toronto office. The ideal candidate will play a key role in supporting project operations, managing invoices and documentation, and ensuring smooth communication between departments.
This position is ideal for someone who enjoys working in a fast-paced construction and engineering environment and is motivated to grow within a dynamic, forward-thinking company.
Key Responsibilities
- Manage incoming and outgoing
invoices
, receipts, and purchase orders. - Submit and track payments with accounting and suppliers.
- Assist the Project Manager with documentation and maintaining smooth
project workflows
. - Organize and maintain project files, reports, and correspondence.
- Coordinate internal and external communications with contractors and vendors.
- Support the preparation and submission of tenders, proposals, and progress reports.
- Maintain and update office records, insurance certificates, and supplier files.
- Assist with scheduling, logistics, and general administrative tasks as needed.
Qualifications
- Office Administration diploma or equivalent experience preferred.
- Minimum 1–2 years of experience in administrative or project coordination roles.
- Basic understanding of construction, engineering, or architectural processes is an asset.
- Strong computer skills, including proficiency in Microsoft Excel, Word, and Outlook.
- Excellent organizational skills with attention to accuracy and detail.
- Strong written and verbal communication abilities.
- Ability to multitask and meet deadlines in a fast-paced environment.
