The
Leasing Coordinator
provides day-to-day administrative support to, and assists in facilitating all leasing activities for the regional leasing team.
Responsibilities
- Provide administrative support, including typing all types of correspondence, completing reports, photocopying, scanning, opening tenant files, taking minutes if necessary and help coordinating meetings.
- Keep track of various documents in circulation between departments, partners and tenants including but not limited to lease documents, offers, deal summaries and documents out for signature.
- Support the leasing team with View The Space (VTS) from set up to inputting, updating and completion (Lease execution).
- Review monthly leasing reports and ensure reports and VTS are accurate.
- Collaborate with the leasing team and joint venture partners to ensure that leasing activity is being properly recorded.
- Process all tenant allowances and brokerage fees for payment as well as track all progressive payments for same.
- Track all critical dates, contractual waivers and leasing capital expenditures and draft corresponding letters for administrative approvals and sign offs.
- Input leasing assumptions for the budget into JDE, run reports and ensure the accuracy of same.
- Distribute, scan, organize and maintain all lease related documents including to the electronic filing system (M-files).
- Complete credit checks for potential tenants.
- Liaison with marketing and Property Managers for development/leasing signage on our sites as well as pylon signage for tenants.
- Draft and distribute letters as required between parties.
- Interact with joint venture partners as required.
- In conjunction with the leasing team update and distribute the monthly lease expires report.
- Assist with developing presentations for internal and external use.
- Update site plans and the property fact sheets as required.
- Coordinate leasing conferences and functions.
- Other functions as required to facilitate the smooth operations of the leasing department.
Qualifications
- Minimum of 3+ years of experience in a similar role within a commercial real estate environment.
- Proficient with lease documents and related documents, drafting experience and lease review is an asset.
- Strong communication skills, both verbal and written.
- Fluency in French and English
- Proactive and highly organized with the ability to prioritize multiple tasks; must be able to work independently as well as to take direction from team members and supervisor.
- Accuracy and attention to detail is critical.
- Able to identify team and client needs and commit to responding to them in agreed upon timeframes.
- Work well in a team environment and has a positive outlook and attitude.
- Excellent grammatical and writing skills.
- Must be proficient in Word, PowerPoint, Excel, Outlook.
- Experience with JDE or equivalent software is preferred.

La personne titulaire de ce poste apporte un soutien administratif quotidien à l'équipe régionale de location commerciale de l'Est du Canada et l'aide à réaliser l'ensemble de ses activités de location.
Responsabilités
- Apporter soutient administratif, notamment taper divers types de communications, finaliser des rapports, photocopier et numériser des documents, ouvrir les dossiers des locataires, rédiger les procès-verbaux au besoin et coordonner les réunions;
- Faire le suivi des divers documents en circulation entre les départements, les partenaires et les locataires, y compris, mais sans s'y limiter, les documents de location, les offres, les sommaires des ententes et les documents à signer;
- Soutenir l'équipe de location avec View The Space (VTS) de la configuration à la saisie, à la mise à jour et à la finalisation (exécution de la location);
- Passer en revue les rapports de location mensuels et s'assurer que les rapports et les VTS sont exacts;
- Collaborer avec l'équipe de location et les partenaires de coentreprise pour s'assurer que les activités de location sont correctement répertoriées;
- Traiter toutes les allocations des locataires et les frais de courtage pour le suivi du paiement et /ou paiements progressifs;
- Faire le suivi de toutes les dates importantes, des renonciations contractuelles, des dépenses en immobilisations de location et des ébauches de lettres correspondantes pour les approbations et signatures administratives;
- Entrer les prévisions budgétaires de location dans JDE, exécuter des rapports et assurer l'exactitude de ces données;
- Distribuer, numériser, organiser et tenir à jour tous les documents relatifs à la location, y compris ceux du système de classement électronique (fichiers M);
- Assurer la vérification de crédit des locataires potentiels;
- Assurer la liaison avec les gestionnaires marketing et gestionnaires des lieux pour l'aménagement et la location des affiches sur nos sites ainsi que les enseignes de pylône pour les locataires;
- Rédiger et distribuer les lettres au besoin entre les parties;
- Interagir avec les partenaires de coentreprise, au besoin;
- En collaboration avec l'équipe de location, mettre à jour et distribuer le rapport sur l'expiration mensuelle de la location;
- Participer à l'élaboration de présentations pour usage interne et externe;
- Mettre à jour les plans de site et les fiches d'information sur la propriété, au besoin;
- Coordonner les conférences et les fonctions de location;
- Autres fonctions au besoin pour faciliter le bon fonctionnement du service de location.
Profil Recherché
- Au moins trois (3) années d'expérience dans une fonction similaire dans le secteur de l'immobilier commercial;
- Maîtrise des documents de location et des documents connexes, expérience en rédaction et en révision de location, un atout;
- Excellentes aptitudes de communication verbale et écrite;
- Maîtrise du français et de l'anglais;
- Proactivité, sens de l'organisation et capacité d'établir des priorités dans l'exécution de plusieurs tâches; être capable de travailler de façon autonome et de suivre les directives des membres de l'équipe et du superviseur;
- Précision et souci du détail, essentiels;
- Capacité à définir les besoins de l'équipe et des clients et de s'engager à leur répondre selon les délais prévus;
- Capacité à bien fonctionner dans un milieu privilégiant le travail d'équipe, attitude positive;
- Excellentes compétences grammaticales et rédactionnelles;
- Maîtrise des logiciels Word, PowerPoint, Excel et Outlook;
- Expérience avec JDE ou un logiciel similaire, préférable.
