ABOUTTHEROLE

The Learning Centres Program Assistant provides a range of support to the Writing and Teaching and Learning Centres, including front-desk support for the Writing Centre; managing shared calendars and schedules for both centres; marketing, publicity and external communications for both centres; supporting event planning and management for both centres; record keeping and data management for both centres; managing and maintaining physical and digital spaces for both centres; coordinating with other areas; and providing support to and occasional supervision of student employees in the Writing Centre.

TYPICALDUTIES

  • Responsible for the overall visual appearance and maintenance of physical and digital spaces for both centres: this may also include the development and production of signage and visual imagery aligned with institutional branding.
  • Maintains resources to support operations in both centres, which includes ordering and procurement of office and other supplies and managing the office printing budgets.
  • In consultation with faculty and staff in each centre, provides operational support for programs and events for both centres, including scheduling, securing resources, booking spaces, organizing catering and staffing, publicizing via internal and external communications, and promoting events and programs through established communication channels.
  • Works the front desk for the Writing Centre, monitoring, responding to, or referring all in-person or email inquiries as appropriate.
  • Builds the tutoring schedule for the Writing Centre in WC Online (scheduling platform) and manages student worker availability and absences; builds and maintains templates, forms, surveys, and announcements in WC Online.
  • In consultation with staff in both Centres, develops marketing strategies and campaigns to publicize programs and events for both centres, including via physical poster campaigns as well as via digital and social media.
  • Liaises with the Communications department to publicize programming and events for both centres on institutional communications channels and official University platforms, including the institutional website.
  • Liaises with the Library, the Aboriginal Gathering Place, the Foundation Office, and other areas that host or are critical to programming and events for both centres.
  • Collaborates with the Director and each centre's faculty and staff to establish general priorities and timelines for design & communication projects.
  • Designs, updates, and distributes resources and documents produced by both centres, including handouts, flyers, slide presentations, and workshop support materials.
  • Liaises with and supervises external contractors and vendors in relation to communication design and space projects for both centres; manages and maintains digital subscriptions and infrastructure for both centres.
  • Assists in collecting and collating analytics and data for university records, resource usage statistics, program schedules, budgets, and reports; administers and collates satisfaction surveys after tutoring appointments, workshops, and events.
  • Supports the Director with the production of usage and accountability reports for each centre.
  • Responsible for tracking and reconciling expenses for both centres, particularly those related to purchases, catering, and printing.
  • Provides support and day-to-day supervision to the student peer tutors in the Writing Centre.
  • Assists with the annual hiring of peer tutors in the Writing Centre by circulating hiring postings, coordinating interview committees and schedules, and conducting reference checks.
  • Performs other related duties as required.

Required Qualifications

  • Bachelor's degree in art, media, design; communications and marketing; or a related field.
  • Minimum two years in a customer-facing role in an office environment, ideally in a post-secondary context; experience working with students would be an asset.
  • Or an equivalent combination of education and experience.
  • Demonstrated experience with marketing, visual communication, and/or communication design/graphic design.
  • Experience with designing web and social media content.
  • Excellent, professional communication (written and oral) and interpersonal skills: this position communicates regularly with students, staff, faculty, and external community members and represents the centres in these communications.
  • Strong time-management and organizational skills.
  • Working knowledge of common design applications including Adobe Creative Suite and InDesign.
  • Proficiency in Microsoft 365 office applications, including Word, Powerpoint, Excel, Forms; familiarity with Teams and Sharepoint an asset.
  • Experience with web authoring, digital communications and event planning applications such as WordPress, Mailchimp, Eventbrite, or similar.
  • Strong team player with highly developed skills in collaboration and coordinating with others.
  • Ability to prioritize and complete tasks by deadline with minimal supervision.
  • Ability to work in a busy environment with frequent distractions.
  • Ability to work with initiative, both independently on self-directed projects and as part of a team.
  • Ability to exercise good judgement, tact, and respect for confidentiality.
