Position Summary
The Clinic Assistant is an integral member of the KCHC interprofessional primary health care team. Working closely with Registered Practical Nurses (RPNs), medical secretaries, Nurse Practitioners, Physicians, and other team members, the Clinic Assistant supports the efficient operation of the clinic through a blend of client-facing, clinical support, and administrative duties.
This role focuses on enhancing client flow, ensuring clinic spaces are clean and prepared, supporting clinicians with administrative and procedural tasks, and maintaining a welcoming and organized environment for clients.
The Clinic Assistant contributes to KCHC's commitment to accessible, high-quality, and client-centered primary health care, with a focus on the social determinants of health, health equity, and trauma informed care.
Key Responsibilities
Client Support & Reception
- Greet clients in a professional, welcoming manner and assist with wayfinding within the Centre.
- Room clients for appointments, taking basic measurements (e.g., height, weight, blood pressure, temperature, pulse) as directed.
- Support client flow and appointment scheduling as needed.
- Handle, label, and prepare for pick-up of laboratory specimens according to protocols.
Clinical Assistance
- Prepare examination rooms before client appointments (e.g., setting up equipment, preparing instruments and supplies).
- Clean, disinfect, and restock exam rooms between clients.
- Support infection prevention and control by maintaining cleanliness and safety standards.
- Ensure medical and laboratory equipment is cleaned, sterilized, and maintained appropriately.
Administrative & Clerical Support
- Support RPNs and medical secretaries with administrative tasks such as faxing, scanning, and organizing client records.
- Assist with client recalls, referrals, and follow-up communication under the direction of clinical staff.
- Reconcile laboratory results, diagnostic reports, and other client documentation as delegated.
- Order and maintain inventory of medical and office supplies, including vaccines and clinical consumables as needed.
- Maintain accurate records of supply usage and coordinate with vendors for reordering.
- Prepare and distribute internal correspondence, reports, and meeting materials as required.
- Maintain petty cash or handle small payments for uninsured services, if applicable.
Team Quality & Support
- Participate actively in team meetings, quality improvement initiatives, and health centre committees as requested.
- Promote effective communication and collaboration among team members.
- Follow CHC policies, procedures, and infection prevention and control guidelines.
- Support the Centre's mission to provide equitable, accessible, and community-based health care services.
Basic Education and experience
- Secondary School Diploma
- Completion of a Medical Office Administration diploma or equivalent, an asset.
- Experience in a clinical or primary care setting preferred.
Knowledge, Skills, and Abilities
- Experience working in a community health, family practice, or interdisciplinary team environment an asset.
- Proficiency in French and/or other languages commonly spoken in our community (e.g., Arabic) is considered an asset.
- Strong interpersonal, communication, and organizational skills.
- Ability to multitask and manage competing priorities in a busy clinical environment.
- Demonstrated ability to work effectively as part of an interprofessional team and independently when required.
- Understanding of trauma-informed care and infection, prevention, and control standards.
- Commitment to KCHC's values of equity, inclusion, and community-centered care.
- Second language is an asset.
- Clinic-based environment with direct client interaction.
- Requires frequent standing, walking, and light lifting (e.g., moving supplies or equipment).
- May involve safety-compliant exposure to biohazardous materials.

- Current and satisfactory Criminal and Vulnerable Persons Check.
