The Ministry of Government Relations is responsible for municipal relations, building and technical standards, First Nations, Métis and northern affairs and the Provincial Capital Commission. The Ministry engages a diverse range of partners and stakeholders to plan for and respond to the opportunities and challenges of growth, provide leadership and direction so that integrated public services are available to communities and their residents and support responsible governments.

The Opportunity

Policy and Program Services is seeking a well-organized, confident, highly motivated and detail-oriented administrative professional to join us in the role of Administrative Assistant. You will report to an Executive Coordinator and collaborate with an administrative team. Experience in a government office setting will be considered an asset.

The successful candidate will need:

  • Competence in office and administrative procedures, protocols, as well as filing systems and equipment.
  • Proficiency in operating Microsoft products (Outlook, Word, Excel, PowerPoint, Teams), Adobe Acrobat, SharePoint, and various internet browsers.
  • The ability to organize and prioritize files, and over time understand and maintain a distinction among the files, processes and responsibilities of different branches of the division and ministry.
  • Purposeful verbal and written communication.
  • Knowledge of accounting principles and procedures.
  • The ability to work independently and as a contributing member of a variety of teams to prioritize and complete multiple tasks while adapting to changing circumstances and constant interruptions to meet deadlines.

The ideal candidate will be:

  • Able to use various software to create, format, proofread, edit and finalize documents such as letters, memos, reports, briefing notes and electronic binders by correcting grammar, spelling and punctuation.
  • Organized, highly motivated, confident, client service focused, thorough and attentive to detail.
  • Able to liaise with Executive Coordinators and other administrative staff of the ministry to obtain, exchange, coordinate and confirm information while maintaining confidentiality and staying within policies and procedures.
  • A team player who is approachable and collaborative to build positive working relationships in a supportive work environment.
  • Adaptable, flexible and cooperative to meet challenges and changing demands.
  • Reliable, trustworthy and discreet to keep information confidential.

Typically, the knowledge and abilities for these positions would be acquired through the successful completion of an office education program or a minimum of one to two years' relevant work experience in an administrative role. Familiarity with government processes such as Visual Identity Guidelines, ARMS/ORS and MIDAS would be an asset.
