Job Summary
We are seeking a professional and detail-oriented Dental Receptionist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, managing front desk operations, scheduling appointments, and ensuring smooth administrative workflows. This role requires excellent communication skills, familiarity with dental and medical office systems, and a strong commitment to patient service and confidentiality. The Dental Receptionist will play a vital role in maintaining efficient clinic operations while providing exceptional customer service in a fast-paced environment.
Duties
- Greet patients warmly and professionally upon arrival, ensuring a positive first impression
- Schedule, confirm, and reschedule patient appointments using dental practice management software Tracker
- Verify insurance coverage and perform insurance verification procedures accurately
- Collect payments and process medical billing
- Review and update patient records, ensuring accuracy and compliance with HIPAA regulations
- Manage multi-line phone systems with excellent phone etiquette to address patient inquiries and direct calls appropriately
- Prepare and review documentation including care plans, intake forms, and medical records for completeness and accuracy
- Maintain organized filing systems for electronic dental records
- Support administrative functions such as data entry, typing, filing, and office management tasks
- Collaborate with clinical staff to ensure seamless patient flow and communication within the clinic environment
- Uphold confidentiality standards in accordance with HIPAA guidelines
Skills
- Proven experience in dental or medical office administration; clinic experience preferred
- Proficiency with dental software
- Strong knowledge of dental terminology
- Excellent customer service skills with the ability to handle patient inquiries professionally and courteously
- Effective communication skills including phone etiquette and bilingual abilities are a plus
- Competent in computer skills including Microsoft Office Suite (Word, Excel), data entry, typing (10 key typing), and office management software
- Ability to review documentation thoroughly for accuracy and completeness
- Knowledge of insurance verification processes and medical billing procedures
- Strong organizational skills with attention to detail in managing records and scheduling appointments
