Natology is a leader in integrative skin care practices known for our exceptional services and high standard, and we are looking for a skilled and enthusiastic part-time Front Desk Administrator to join our high-end, fast-paced medspa team. As the first point of contact for our clients, you will play a vital role in providing exceptional customer service and ensuring the smooth operation of our clinic.
Responsibilities:
- Warmly Greet Clients: Welcome clients with a friendly attitude and ensure they have a pleasant experience from the moment they step into the clinic.
- Appointment Scheduling: Manage appointment bookings efficiently, coordinating with practitioners to optimize schedules and accommodate client requests.
- Customer Service: Provide outstanding customer service by addressing client inquiries, resolving complaints, conducting client follow ups and ensuring client satisfaction.
- Communication Management: Respond promptly to emails, texts and social media messages. Assist in managing email responses to ensure timely and effective communication.
- Payment Processing: Handle cash and electronic payments accurately, issue receipts, and maintain a balanced cash register.
- Clinic Maintenance: Maintain the cleanliness, laundry and organization of the reception area and beyond, according to our set out cleaning guide, ensuring it reflects the high-end image of the clinic.
- Google Reviews: Contribute to the clinic's reputation by helping to achieve a target of receiving 10 new Google reviews per month through excellent client interactions and follow- up.
- Product/Service Knowledge: Stay informed about salon services, products, and promotions to effectively promote and upsell to clients.
- Team Support: Ensure the team is supported with room transitions and overall workflow and operations throughout the day.
- Administrative Tasks: Assist in various administrative tasks, such as maintaining client records, inventory management, and ordering supplies when necessary.
- Multi-Tasking: Handle multiple tasks simultaneously, including answering phones, managing walk-ins, and supporting salon staff as needed.
- Content Support: Ability to assist with content creation and recording, supporting the salon's marketing and promotional efforts.

- Communication Skills: Communicate clearly and effectively with clients and team members, handling cancellations and inquiries with professionalism.
- Teamwork: Collaborate effectively with the team, offering support and contributing to a positive and productive work environment.
Technical Qualifications:
- Proven experience in a similar role, preferably in a fast-paced, high-end salon or spa.
- Proficiency with Google Docs, spreadsheets and other management software.
Physical Requirements:
- Must be willing to work some evenings and weekends.
