Project Coordinator / Project Specialist, Project Management
The Project Coordinator supports projects by executing established tasks/processes and ancillary items assigned by a Project Manager or Senior Project Manager within a project structure. This role also oversees smaller projects or phase(s) within a larger project. This position is responsible for supporting all aspects of coordination within projects through the project lifecycle (initiate, plan, execute, monitor & control, close). The Project Coordinator also has familiarity with general Project Management practices, disciplines and tools.
- Provides regular project updates to project teams (status meetings, dashboards)
- Maintains, regularly actions and updates project documentation, systems and logs
- Works closely with other departments to communicate, coordinate and report on scheduled or planned activities
- Prepare client status reports as designated by Project Manager
- Enacts and issues change control according to established PMO methodology for scope, budget, time aspects within a Project
- Track project progress, task completion and report to Project Managers and stakeholders
- Maintain the project record within ServiceNow include contracts, Statements of Work, Change Orders and billing information
- Provides project accounting support relevant to stated budgets for technical services, professional services, subcontractors, parts/materials and ancillary costs.
- Monitors revenue balances for PS retainers & blocks of time
- Actively report and track time related to project tasks
- Initiates customer surveys once projects are completed
- Other duties as assigned by manager or Project Manager(s)
Qualification/Education
- Requires post-secondary or equivalent experience
- Requires knowledge and experience using MS Office Suite (MS Word, Excel testing may be provisioned)
- Minimum 2 years' professional working experience. 1+ year working or contributing to a project structure is considered an asset
- Working towards or completed a Project or IT Service Management designation (CAPM, Project+, PRINCE2, ITIL)
Knowledge, Skills and Abilities
- Preference would be given to candidates fully bilingual in French and English
- Foundational knowledge of Project fundamentals (Scope, Time, Budget, Risk)
- Intermediate knowledge of MS Office
- Basic knowledge of MS Project, Visio, Teams & SharePoint considered an asset
- Effective verbal and written communication skills
- Strong organizational and intrapersonal skills
- Can manage a variety of competing tasks with the ability to prioritize based on importance and urgency
- Ability to execute tasks with focus on completeness, accuracy and detail
- Can act effectively on pre-established guidelines, forms, templates and processes to perform job functions
