Position Summary
The OHS & Office Administrator support role will be responsible for working with the OHS Manager to assist with data entry, OHS administration, and support of the electronic safety management system. This role will also interact with the Health & Safety Coordinator to support site safety staff with compliance with OH&S legislation and providing overall support in promoting a culture of safety at Wales McLelland Construction. This position will also provide reception coverage during lunch and offer backup assistance at the front desk as needed.

Responsibilities
SAFETY ADMINISTRATION

  • Record keeping, data entry, filing of all internal and external safety reporting
  • Assist with scheduling and record keeping of all required OHS training
  • Assist with Health & Safety Orientation for all new field employees
  • Order health and safety supplies for sites
  • Complete inventory quarterly
  • Prepare monthly KPI Reports; review and issue to project teams
  • Record keeping of OHS statistics
  • Assist with 3rd party compliance updates

SITE SUPPORT

  • Assist with site trailer document setup and on-going
  • New & Young worker records of training &
  • Maintain First Aid Inventory and Safety asset
  • Assist with the site Mob in and Mob out admin process.

COR AUDIT SUPPORT

  • Assist with the annual OHS & IM Program review (regulations and forms)
  • Assist with OHS Program Manual document management (form creation, filing, printing, distribution)
  • Assist with Implementation of annual COR action items
  • Track annual review of Safe Work Practice and Safe Job Procedures, document who/when reviewed

SUB-CONTRACTOR SAFETY

  • Assist with requests to subs for OHS information, record keeping and filing of all Sub-Trade OHS Information (new and annual)

OFFICE SUPPORT

  • Maintain office cleanliness and restock office supplies and snacks.
  • Assist with filing invoices and scanning documents.
  • Prepare safety binders for various sites.
  • Coordinate with IT to ensure they have the necessary resources.
  • Collaborate with HR and IT to facilitate a smooth onboarding and offboarding process.
  • Provide reception coverage during lunch time and as needed
  • Other administrative tasks as assigned by the Manager

Qualifications

  • Some post-secondary education or training in administration, health & safety, or a related field
  • Preference given to experience in construction/site safety
  • Valid BC Driver's License (Note position may require travel to various WM site operations across Lower Mainland)
  • Knowledge of Occupational Health & Safety legislation is an asset
  • Solid computer skills (Microsoft Office)
  • Demonstrated ability to prioritize and multi-task in a fast-paced environment
  • Demonstrated ability for clear and accurate documentation
  • Demonstrated ability to work independently and in a team environment
  • Excellent written and oral/interpersonal communication skills
  • Strong organizational skills and attention to detail
