Your Role
The Medical Office Administrator reports to the Administrative Team Lead and works closely with the practice operations and the clinical team. The position is responsible for managing the physician practice which involves greeting and directing patients, addressing, directing, or forwarding incoming phone calls, scheduling appointments, and resolving patient inquires. Regardless of the task at hand, the position's main goal is to facilitate the efficient operations of our team and clinic.
Job Responsibilities:
- Answer incoming calls to the Clinic during operating hours.
- Book clinic appointments for the patients (Ultrasound, blood work, semen analysis, freezing, etc.).
- Confirm all physician appointments and ensure all documents are on file.
- Checking in patients for appointments, screening patients for COVID-19
- Medical reception coverage.
- Daily patient invoicing.
- Maintaining overall presentation of the clinic by ensuring that all rooms, including the washrooms, collection rooms and exam room are well-stocked and clean.
- Keeps EMR records up to date by scanning the patient file, test results and other documents and properly saving them in the patient's electronic file.
- Creating new patient charts
- Ordering medications, kits, pamphlets, other medical supplies as well as participate in monthly and Year-End Inventory.
- Outgoing Mail, accepting deliveries
Qualifications:
- 2+ years of Administrative experience.
- Experience in preparation and reconciliation of OHIP billing information
- Experience with AbelMed and eIVF an asset
- Successful completion of a college diploma preferably in the field of Medical Office or Business Administration.
- Computer savvy
- Proficient in Microsoft Office/Suite.
- Ability to prioritize, organize workload and plan independently.
- Exceptional phone etiquette and interpersonal skills.
- Strong attention to detail and problem-solving skills.
- Strong written and verbal communication skills.
- Demonstration of good attendance and work performance.
- Knowledgeable about providing a safe and inclusive environment to gender and sexually diverse people (2SLGBTQIA+)
- Committed to patient centered care.
8:00am to 4:00pm Monday to Friday
37.50 hours per week
