Job Description

Content and Event Coordination Responsibilities:

  • Content Committee Facilitation:

Organize and prepare for weekly Content Committee meetings, providing logistical support, distributing relevant materials, and ensuring deliverables are on track.
- Deliverables Management:

Create and maintain a detailed timeline of content deliverables to guide the content team and ensure all deadlines are met in a timely and efficient manner.
- Master Grid Creation:

Collaborate with the Content Co-Chairs to develop and manage a master grid, along with supporting documentation, to track content progress, speaker details, and key milestones.
- Speaker Coordination and Logistics:

Once speakers are selected by the Co-Chairs, handle all outreach, follow-ups, and necessary arrangements, including bookings, travel, accommodations, and related logistics, ensuring a seamless experience for all participants.
- Preparatory Sessions and Communication:

Organize preparatory sessions for keynote speakers, panelists, and fireside chats participants. This includes scheduling, sending calendar invites, and preparing detailed information emails to ensure all parties are well-prepared.
- Speaker Agenda Management:

Oversee and communicate each speaker's agenda, ensuring clarity and smooth coordination on the day of the event.
- Content Collection and Website Management:

Gather and upload speaker materials to the event's website, ensuring all content is up-to-date and accessible for attendees.
- On-Site Event Production:

Support the coordination of on-stage setup and rehearsals, ensuring speakers and moderators are fully prepared and comfortable with the event flow.

Partnership Support Responsibilities:

  • Co-Designing Partner Activations:

Collaborate with partners to define potential competition challenges, co-create activations, and enhance the overall partner experience. Ensure their objectives are met while showcasing CSP's role as a leader in climate innovation.
- Liaison for Cross-Team Coordination:

Serve as a point of contact between partners and internal teams, facilitating smooth communication and ensuring that all necessary resources and assets are delivered to maximize partner visibility and impact.
- Partnership Management System:

Develop and maintain a comprehensive tracking system for managing partnership progress, deliverables, and engagement metrics, ensuring that all aspects of the partnership are organized and easily accessible.
- Deliverable Timeline Alignment:

Establish clear timelines for deliverables, ensuring content creation, promotional efforts, and partner expectations are aligned to drive timely execution and maximize the success of each collaboration.

Experience and Skills Required:

  • 3+ years' experience in a similar coordination or project management role 
    (is an asset)
  • 3+ years in event or conference production
  • Bachelor's degree in business administration,communications  or similar
  • Excellent verbal and written skills in English, with the ability to communicate in French.
    (French is an asset)
  • Strong working knowledge of Microsoft Word, Excel, and PowerPoint
  • Experience working with Airtable (or similar event CRM software) an asset
  • Exceptional organizational and prioritization skills, with the ability to meet multiple deadlines
  • High attention to detail
  • Ability to work independently
  • Ability to set priorities and schedules to achieve deadlines efficiently
  • Knowledge of climate, sustainability, or clean tech issues, strong asset
