Job Summary
We're looking for a dependable and organized Office Assistant to support our team. A key part of this role is maintaining and improving our Standard Operating Procedures (SOPs) to ensure consistency and efficiency across the company. You'll also handle a mix of administrative support, bookkeeping, office coordination, and event planning/assistance, with opportunities to get involved in a variety of projects that keep our workplace running smoothly. Responsibilities / Duties
The starting wage reflects all of the responsibilities listed below. However, you won't be expected to handle everything right away. We'll introduce tasks gradually, beginning with the essentials, and you'll grow into the full scope of the role over time.
Initial Focus Areas:
- Office Administration: phones, filing, maintaining supplies, vendor coordination, and keeping shared spaces running smoothly
- Employee Support: scheduling, onboarding assistance, travel planning, and helping with health and safety checks and records
- Finance and Data Entry: entering receipts, invoices, and payments into QuickBooks Desktop, along with other basic bookkeeping support
- Equipment Care: basic upkeep of the office equipment such as our 3D printers and humidifier
- Culture and Team Engagement: planning company events and activities, and helping keep internal systems and training materials current
Future Responsibilities:
- Prepare payroll, review timesheets, manage benefits administration, and record related entries in QuickBooks
- Reconcile accounts, support tax and compliance filings, process liabilities, review aging reports, and compile reports for management
- Monitor company systems (mainly spreadsheets) to ensure information is accurate, current, and consistently updated
- Assist the Inventory Manager with inventory and accounting issues when needed (for example, troubleshooting vendor-related discrepancies)
- Handle WSIB, health and safety policies, and insurance renewals
- Maintain SOPs and training guides, audit inventory and Kanban systems, and support efficiency projects across departments
- Provide administrative and project support to the President on day-to-day operations and special initiatives
- Prepare government remittances, coordinate fire drills, and manage other recurring annual or quarterly tasks
Required Skills / Qualifications
- Proficiency with QuickBooks Desktop (Enterprise preferred)
- Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail, etc.)
- Fluent in English
- Exceptional attention to detail and organizational skills
- Reliable, punctual, and a strong team player
- Ability to work efficiently in a fast-paced environment and meet deadlines
- Strong problem-solving skills with a resourceful and proactive approach
Preferred Skills / Qualifications
- Basic knowledge of guitar pedals
- Basic knowledge of Prusa 3D printers
- 50+ WPM typing speed
