Administrative Assistant

Duties & Responsibilities:
- Administrative & Operational Support
- Provide day-to-day administrative assistance within the team
- Maintain provider schedules and coordinate client appointments
- Book and modify appointments
- Prepare correspondence, reports, and internal communications
- Ensure that informational materials, program flyers, and forms are available for clients.
- Assist with data entry, filing, and maintenance of client and program records in accordance with privacy legislation
- Manage appointment scheduling and confirmation for primary care providers
Client Service
- Greet and direct clients in a welcoming, culturally safe manner
- Answer incoming calls and manage the phone system, respond to inquiries via email, and direct calls to the appropriate staff
- Assist with intake documentation and ensure forms are complete and accurate
- Assist clients with completing forms and intake documentation
Coordination & Communication
- Liaise between the Primary Care Unit and other AHT programs to support integrated care
- Schedule meetings, prepare agendas, and record meeting minutes
- Support internal reporting and data collection for quality improvement and funding requirements
Compliance & Confidentiality
- Adhere to AHT's policies, procedures, and health information privacy standards
- Ensure documentation and communications are accurate, timely, and secure
- Track inventory and order supplies for the unit
- Process referrals, faxes, and other communications as required
Qualifications & Experience:
- Post-secondary education in Office Administration, Health Administration, or a related field, or equivalent combination of education and experience
- Minimum 2 years of administrative experience in a healthcare or community services setting
- Strong organizational and time-management skills with attention to detail
- Excellent communication and interpersonal skills
- Proficiency with Microsoft Office Suite and electronic medical records systems
- Ability to work in a fast-paced, team-oriented environment
- Understanding of the health and social issues affecting indigenous communities
