Our client has been in business for over 50 years providing leading edge vacuum and over pressure technology worldwide. They are actively seeking to hire a Service Coordinator to join their growing team. The individual will be responsible for the coordination of activities and all documentation related to the workshop and field service.
Responsibilities:
- Schedule and coordinate all service operations, ensuring timely and efficient completion of tasks.
- Assign technicians to appropriate inhouse and field service jobs for Ontario region based on their skills and availability.
- Serve as the primary point of contact for customers, scheduling appointments, providing service updates, and resolving complaints.
- Act as a link between customers, service technicians, and other departments to ensure smooth operations.
- Track key performance indicators (KPIs) and report on service performance, identifying areas for improvement.
- Ensure that all work meets company standards and that the workshop environment is safe and compliant.
- Propose and implement changes to streamline operations and enhance service delivery.
- Prepare submissions for service calls and internal repairs, enter data provided by technicians to complete work orders and open and close work orders.
- Follow up on parts (requisition, inventory transfers) for the execution of internal repairs and service calls.
- Maintain accurate records and file all documents related to the service department: work orders, submissions, cost calculations, customer interactions etc.
- Write/transmit selected departmental communications and reports.
- Promote and encourage a positive attitude for all team members.
- Contact customers to organize shipment of equipment and/or collect purchase orders.
- Looks over rental pumps: shipping and receiving procedure, inventory adjustments, customer follow-ups, invoicing.
- Obtains and files safety information on customer equipment returning for repair.
- Assist in building management, complete requisitions, and communicate with contractors.
- Assist the supervisor in the stand-up meetings with service technicians.
- Carry out any other tasks and take on any other responsibilities that the immediate supervisor may assign on occasion.
Qualifications:
- 3 to 5 years experience in a similar position or in customer service.
- 3 to 5 years experience coordinating a service or technical team.
- Coordinating a service or technical team min of 3 years
- CRM/ SAP experience
- Microsoft Excel
