Job Overview

We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency in office software, and the ability to handle multiple responsibilities in a fast-paced environment. Experience in medical or dental offices is a plus, but not mandatory. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere for clients and staff alike.

Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems with professionalism and courtesy, directing calls appropriately
  • Schedule appointments and maintain calendars using online tools
  • Perform data entry with accuracy, updating records and maintaining filing systems
  • Handle incoming and outgoing correspondence, including emails, mail, and faxes
  • Assist with administrative tasks such as filing, photocopying, and proofreading documents
  • Support bookkeeping activities using accounting software when necessary
  • Maintain a clean and organized front desk area to promote a professional environment
  • Provide excellent customer support by addressing inquiries promptly and efficiently
  • Support other administrative functions as needed within the office setting

Experience

  • Previous clerical or administrative experience preferred, especially in office or medical/dental environments
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and front desk operations is highly desirable
  • Strong organizational skills with attention to detail in data entry and document proofreading
  • Excellent phone etiquette and customer service skills to handle diverse client interactions effectively
  • Knowledge of bookkeeping software such as QuickBooks or experience with basic bookkeeping tasks is a plus
  • Prior experience in medical or dental offices (including dental receptionist roles) is advantageous but not required
  • Demonstrated ability to manage multiple tasks efficiently while maintaining professionalism
