Introduction & Key Role Objectives

WJ Groundwater is the leading construction dewatering and groundwater specialist in Ontario, and is expanding across Canada with current projects in BC and QC and pursuing opportunities nationwide. We have specialized plant and equipment that allows us to install custom dewatering and water treatment systems in various environments including from within tunnels and shafts and from the surface. Our current portfolio of projects covers everything from large infrastructure (heavy civil works) to residential developments, and small-scale dewatering solutions in hard-to-access areas.

We are seeking a dynamic and detailed-oriented Assistant Estimating Engineer to support our estimating team. This role involves monitoring multiple bid platforms, managing opportunity creation and documentation in our Customer Relationship Management (CRM) platform, maintaining accurate records of bids and contracts, ensuring compliance with prequalification requirements, and updating our price book. The ideal candidate is resourceful, proactive, and skilled in organizing high volumes of information to keep bidding activities efficient and up to date.

Reports to Senior Estimator

Key Areas of Responsibility

  • Assist in the tender preparation process, including the preparation of estimates, quotations and dewatering designs.
  • Act as liaison between WJ Canada and the WJ Philippines Engineering & Data.
  • Operations Centre (EDOC) team to delegate and manage some or all the below tasks.
  • Ensure standardization of documentation delivered by the EDOC team to WJ Canada.
  • Maintain the CRM database of Clients and opportunities.
  • Manage the download and proper organization and filing of bid relevant documents.
  • Maintain a geographic (GIS) database of previous bids, contracts, and possible future leads with a focus on a suitable risk analysis approach to better inform proposals and operations.
  • Prepare and organize pre-bid and pre-tender requirement packages for each platform and company, including company profiles, safety records, certifications, and forms.
  • Help to align actual (historical) project labour, material, and equipment requirements with (future) assumptions made during the proposal phase.
  • Work with the WJ Canada procurement team to develop and maintain a material and equipment price database current for cost estimating purposes.

The above is not exhaustive, and you will be expected to undertake other duties which may reasonably fall within the level of responsibility and competence. As more tasks become successfully delegated to the EDOC team, the scope of technical engineering involvement is anticipated to increase.

Qualifications & Experience

  • A motivated and hardworking individual with good written and communication skills is essential.
  • Diploma or Bachelor's degree in Construction Management, Civil Engineering, Quantity Surveying, or a related discipline
  • 1+ years of experience in construction estimating or a similar role
  • Proficiency in Zoho CRM (or similar CRM systems), Excel, and Outlook
  • Strong organizational and time management skills
  • Attention to detail and accuracy in data entry and document handling
  • Ability to prioritize multiple tasks and meet deadlines
  • Strong communication skills to liaise with vendors, procurement, and internal teams
  • Highly Organized, methodical, and detail drive
  • Proactive in identifying and managing opportunities
  • Team player with a strong sense of responsibility

Working Conditions

This role is primarily based at our head office. Standard working hours are from 8:00 AM to 5:00 PM, Monday to Friday. Occasional flexibility in working hours may be required.
