We're looking for a Project & Finance Assistant to join our office team and help keep projects running smoothly — from invoicing and permits to materials and cost tracking.
Position Overview
As our Project & Finance Assistant, you'll play an important support role within our office team. You'll handle day-to-day administrative and financial tasks like entering bills, preparing invoices, following up on payments, submitting permits, ordering materials, and keeping pricing and cost information up to date. You'll also monitor project costs and bring any issues or discrepancies to the attention of management or the project manager.
This role is ideal for someone organized, detail-oriented, and proactive — someone who enjoys supporting a busy team and keeping things running efficiently behind the scenes.
Key Responsibilities
· Create and send customer invoices
· Follow up on outstanding payments
· Enter and organize supplier bills and expenses
· Apply for permits and maintain permit records
· Order materials and track delivery or backorder status
· Update material and service pricing in our system
· Review project cost reports and flag any discrepancies or concerns
· Maintain organized digital and paper records for projects and vendors
· Communicate with suppliers, customers, and the project team as needed
· Support management with other financial or administrative tasks as required
Qualifications & Skills
· Experience in administration, finance, or bookkeeping (construction or trade experience an asset)
· Strong organizational and time-management skills
· Good understanding of invoicing, bills, and cost tracking
· Proficient with Microsoft Office (Excel, Word, Outlook)
· Experience with QuickBooks or similar accounting software preferred
· Attention to detail and ability to spot inconsistencies in data or costs
· Strong communication skills and a positive, team-focused attitude
