POSITION SUMMARY

Reporting to the Chief Executive Officer, the HaiCo Administrative Assistant will play a key role in supporting HaiCo's governance and communications. They will work closely with the management team and board of directors. They will create and design engaging communication content for HaiCo and, when required, for the group of entities. Preference will be given to applications from qualified Haida citizens.

DUTIES AND RESPONSIBILITIES

  • Provide administrative support to the Chief Executive Officer (CEO), including maintaining and organizing the CEO's calendar and scheduling meetings and appointments.
  • Collaborate with the CEO to develop meeting agendas and schedules, and diligently record and distribute minutes for the board and its committees.
  • Post and maintain HaiCo's corporate records on SharePoint.
  • Coordinate travel arrangements for the HaiCo Board of Directors and management staff.
  • Work in close coordination with the Communication Department of the Council of Haida Nation regarding HaiCo and its subsidiaries' communications.
  • Create and sustain HaiCo's communication content across social media platforms and the website.
  • Develop, design, and distribute HaiCo's quarterly newsletter and community announcements.
  • Plan and coordinate all community engagement activities for the HaiCo group.
  • Maintain strict confidentiality concerning all HaiCo business operations and board-related matters.
  • Perform other related duties as required.

KNOWLEDGE, SKILLS AND ABILITIES 

  • Outstanding verbal and written communication abilities.
  • Strong organizational, coordination, and time management abilities.
  • Solid interpersonal skills and experience collaborating in team settings.
  • An understanding of Haida language as it appears in our official communications.
  • Proactive self-starter capable of working independently.
  • Familiarity with Haida Gwaii and Haida culture and values.
  • Proficient in computer applications, including Microsoft Office, PowerPoint, SharePoint, Adobe Acrobat, Canva, and InDesign.
  • Exceptional business writing and communication skills.
  • Valid Class 5 driver's license.

TRAINING, EDUCATION AND EXPERIENCE 

  • A post-secondary degree or an equivalent combination of education, training, and professional experience is required.
  • Experience in coordination, planning, and collaborative teamwork is essential.
  • Possess a minimum of three years of experience at a comparable level of responsibility.

Location is on Haida Gwaii
