About the Role
Join our dynamic team as a Senior Administrative Coordinator. Reporting to the Senior Engineer, Pipeline Integrity & Cathodic Protection, the Senior Administrative Coordinator is responsible for supporting the Integrity team in executing its annual capital and O&M programs. This role provides project and contract coordination, work and asset data processing and analysis, and support for other duties required to execute engineering and technician work. The successful candidate is a strong communicator, has a strong grasp of Integrity project requirements, and can work with project management, asset management and collaboration cloud applications.
What You Get to Do:
Project Coordination & Contract Administration
Create and update projects in financial and project management applications.
Perform preliminary project analysis and submit requests for permits and approvals.
Process requisitions for materials and services for project and inspection work, making critical assessments of when changes are required.
Manage administration of contract resources, including tracking progress and expenditures, and providing critical suggestions for process improvements.
Data Improvement & Maintenance
Maintain and improve dashboards and other reports used by leaders to track project and program progress.
Extract and manipulate data from a variety of sources (Maximo, SharePoint, ArcGIS.)
Identify gaps in data collection and utilization and suggest and execute improvements.
Create or improve SharePoint libraries that facilitate capital and O&M work execution, leverage workflows and purposeful design to reduce manual data movement and oversight
Develop procedures, processes and best practices to support long term success and maintenance of dashboards and data libraries.
Engineer & Technician Support
Manage expense reports and invoice approvals.
Maintain several team emails and other communication channels with internal and external stakeholders
Provide general support for on-going tasks related to project management, and office and IT-related requests.
What You Bring:
Grade 12 or General Equivalency Diploma (G.E.D.)
A post-secondary diploma, certificate or considerable related courses in business or office administration, computer science, or another related field.
Minimum 5 years of experience in utilities, cathodic protection, IT or a related industry.
Experience with project coordination estimating and forecasting.
Experience with data visualization, reporting and KPI metrics.
Proficient with Microsoft Excel and Power BI, including in support of data collection and visualization.
Proficient with the M365 suite of applications, including Word, Power Point, Outlook and Teams.
Capable of advanced SharePoint design and familiar with Power Automate flows.
Experience with work and asset management applications, including Maximo Application Suite, GIS web platforms and Oracle Field Service.
Experience with project management tools, including Oracle Cloud applications for procurement and project accounting.
Additional training or certification in the listed applications an asset.
Strong communication (oral and written) and interpersonal skills.
Provide a creative approach to problem solving.
Ability to work on a large technical team, and coordinate and prioritize work for many initiatives at once.
