Job Summary:

The Customer Service & AR/AP Coordinator plays a key role in maintaining positive customer relationships, ensuring smooth B2C order processing, and supporting the company's financial operations through effective management of accounts receivable and payable tasks. This position requires strong communication, organizational, and multitasking skills to balance customer service excellence with accurate financial recordkeeping.

Responsibilities:

Customer Relations & Support

  • Develop and maintain strong relationships with B2C customers to support growth and ensure positive interactions.
  • Ensure customer satisfaction by responding promptly to email requests, handling returns, and managing warranty claims.
  • Respond to customer complaints and queries with professionalism and ensure orders are processed accurately and in a timely manner.
  • Manage a small volume of incoming phone calls and provide appropriate assistance or escalation as needed.
  • Act as a liaison between customers and internal departments to resolve issues and improve communication.
  • Provide feedback on the efficiency of the customer service process and recommend improvements.

Accounts Receivable (AR)

  • Generate and send invoices to customers in a timely and accurate manner.
  • Monitor customer accounts for payment status, follow up on overdue invoices, and process incoming payments.
  • Reconcile AR transactions and maintain up-to-date records in the accounting system.
  • Work with the accounting team to resolve billing discrepancies or customer payment issues.

Accounts Payable (AP)

  • Process vendor invoices, verify accuracy, and ensure timely payments.
  • Maintain vendor files and manage communication regarding payment schedules or discrepancies.
  • Reconcile AP transactions and support monthly and year-end closing processes.
  • Assist with expense tracking and reporting as needed.

Administrative & Data Entry

  • Perform data entry tasks related to customer accounts, orders, and financial transactions.
  • Handle general administrative tasks to support the company and its management team.
  • Be flexible and ready to move between tasks to fulfill immediate business needs.

Requirements

  • Proven experience in customer service or a related field, demonstrating strong people skills.
  • Strong knowledge of bookkeeping principles, including accounts payable and receivable processes.
  • Excellent analytical skills with the ability to perform account analysis and reconciliation tasks.
  • Solid math skills to assist with financial calculations and reporting.
  • Attention to detail with a commitment to maintaining accuracy in all tasks performed.
  • Effective negotiation skills to facilitate successful resolutions for customer inquiries.
  • Strong data entry capabilities with an emphasis on efficiency and accuracy.
  • Proficient English (Intermediate level of French minimum) bilingual is preferred.
  • Proficient in Microsoft Office Suite, GSuite, ERP software, and project management tools.
  • Ability to adapt to and learn new software quickly.
  • Excellent verbal and written communication skills.
