As an Administrative Coordinator, you will play a critical role in ensuring smooth day-to-day operations at our GTA Critical Care Land Ambulance (CCLA) Base. Reporting to the Manager, Base Operations, you'll provide essential administrative and operational support to paramedic teams, helping them deliver exceptional patient care.This position is based at our Boylen Road CCLA Base and includes occasional travel to Peterborough, with travel compensated according to policy.
Responsibilities:
- Provide daily administrative support to base staff, fostering a safe, collaborative, and professional work environment
- Coordinate and manage administrative tasks including payroll activities and inventory tracking for medications, consumables, and equipment
- Organize and schedule internal and external meetings (in-person and virtual), prepare agendas, and distribute meeting minutes
- Communicate effectively with internal teams and external partners to ensure operational updates and compliance
- Support technical and operational processes to maintain efficiency and resource utilization
- Promote Ornge's mission and values through professional interactions and teamwork
Qualifications:
- Post-secondary education in Business Administration, Office Administration, or a related field preferred
- Minimum 2 years of experience in administrative coordination or operations support, ideally in healthcare, EMS, or a similar environment
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced setting
- Excellent written and verbal communication skills and the ability to work collaboratively across teams
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Ability to prepare reports, correspondence, and meeting documentation with accuracy and attention to detail
- Strong interpersonal skills, tact, and diplomacy when handling sensitive issues
- Valid "G" Class Driver's License with a satisfactory driver's abstract
