What You'll Be Doing:

As one of our Admin Co-Ordinator's, you are the crucial link between our patients, the clinical team, and our smooth daily operations.

Patient Experience & Coordination

  • Be the First Impression: Warmly welcome and host all patients—in person, on the phone, and via email—setting the tone for an outstanding experience that exceeds expectations.
  • Scheduling Mastery: Strategically manage and optimize the daily appointment schedule to maximize clinical efficiency and minimize gaps for our providers.
  • Treatment Advocacy: Play a key role in patient care by speaking to patients about their recommended treatment plans and communicating their value to encourage patient acceptance.
  • Relationship Building: Proactively resolve any escalated patient issues and build lasting trust through ongoing, clear communication.

Financial & Operational Excellence

  • Financial Gatekeeper: Manage all patient financials, including accurately estimating and collecting patient portions due at the time of service.
  • Billing & Claims: Expertly input patient information (including insurance details) with high confidentiality into Dentrix. Process accounts payable/receivable and manage payment allocation through insurance portals.
  • System Ownership: Assist with the organization, coordination, and inventory of all office supplies and deliveries.
  • Team Support: Help manage the clinical staff schedule to ensure optimal treatment room coverage.
