Job Overview

The patient coordinator will be responsible for helping make sure the clinic runs smoothly in day-to-day operations. They are the face of the clinic, upholding the highest levels of customer service. This position requires a highly organized and motivated individual with a passion for growth.

We are seeking a dedicated and organized Patient Coordinator to join our team. This role requires strong administrative skills, familiarity with medical aesthetic service names and purpose and terminology. Should be able to manage multiple tasks in a fast-paced environment.

The Patient Coordinator will play a crucial role in maintaining patient records and facilitating communication between patients and healthcare providers.

Job Responsibilities:

  • Answer any phone calls in a timely manner
  • Reply to any messages the clinic receives over text or through social media
  • Must be willing to answer messages during the weekends as well
  • Schedule appointments efficiently, ensuring patient satisfaction
  • Maintaining appointment schedules, notifying medical staff of patient arrivals and communicating any service delays
  • Ensure patient comfort and satisfaction by anticipating patients' needs, anxieties; answering patients' questions, maintaining a welcoming reception area
  • Help clean up clinic at the end of each working day
  • Welcome and check in clients arriving for appointments through Jane App Software
  • Process clients during checkout, taking payment and booking future appointments
  • Take stock of inventory (exam room & clinic), keeping inventory records up to date in Jane App.
  • Monitor clinic reception email, replying to or forwarding emails to relevant staff, maintain communication between other patient coordinators

Experience

  • Previous experience in a medical aesthetic office setting is preferred
  • Familiarity with medical aesthetic terminology is essential for effective communication with patients and staff
  • Strong office experience with administrative duties, including managing schedules and handling correspondence
  • Excellent interpersonal skills to interact effectively with patients, families, vendors and healthcare professionals
  • Ability to work efficiently in a fast-paced environment while managing multiple priorities

Job Type: Part-time

Pay: $18.00-$20.00 per hour
