Role Responsibilities

The Alberta Crown Prosecution Service Division at the Ministry of Justice is looking for a highly motivated individual to be a part of their team 

The Ministry of Justice is seeking a highly motived receptionist in their in the Calgary Crown Prosecutors' Office to provide administrative support for the prosecution of criminal and provincial offences, including but not limited to the Criminal Code of Canada and the Traffic Safety Act.

Reporting to the Disclosure Unit Supervisor, the Receptionist plays a key role in supporting the operations of the Crown office. This position is essential to ensuring prosecutors are well-prepared for court proceedings. Responsibilities include processing incoming and outgoing mail, photocopying and document handling, and providing other administrative services that are required to ensure that branch goals and objectives are met.

To succeed in this role, you will be required to have excellent attendance and reliability, exercise a high level of professionalism and discretion, flexibility and ability to multitask in a fast-paced environment, and demonstrate high attention to detail. Candidates must have a genuine interest in or knowledge of the Criminal Justice System. 

This is a public facing role and requires strong communication skills and the ability to remain professional when dealing with difficult situations. 

Candidates must be comfortable handling large quantities of sensitive and confidential information and exposure to potentially disturbing subject matter within prosecution files.

The primary responsibilities for the Receptionist include, but are not limited to:

  • Providing central services support including a centralized mail distribution/disclosure pick-up centre at the Calgary Crown Prosecutors' Office.
  • Providing administrative support to Crown Prosecutors and client services to approximately 130 staff members, Provincial Court, and General Public.
  • Using tools such as Word, Outlook, Prosecutor Information System Manager (PRISM), Justice On-Line Information Network (JOIN), e-Crim and other resources as required.
  • Working in a high volume, demanding environment and managing competing priorities in tight timelines.
  • Maintaining professionalism when working with Crown Prosecutors, Defense Counsel or the General Public.

Qualifications

Required

  • High school diploma and a minimum of one year of related experience, preferably in a legal secretarial context.
  • Strong knowledge and understanding of the Criminal Justice System.
  • Strong verbal, written communication and interpersonal skills.

Assets

  • Proficiency in Microsoft 365 (Word, Outlook), Prosecutor Information System Manager (PRISM), Justice On-Line Information Network (JOIN) and e-Crim.
  • Post-secondary Legal Assistant diploma or a related discipline.
  • Knowledge of the Protection of Privacy Act (POPA), Criminal Code of Canada and Traffic Safety Act.
