Job Overview

Primary Responsibilities include:

Program

  • Raise visibility and promote the services of the Agency

  • Oversee implementation and effective execution of agency programs in accordance with Agency Policy and National Standards

  • Oversee and mange extraordinary circumstances that may arise when dealing with Families and volunteers

  • Ensure compliance with Big Brothers Big Sisters National Office and brand

  • Assist the Board and Staff in the development of high-quality programs consistent with community needs

  • Coordinate, manage and attend agency activities and events along with mentoring coordinators

  • Establish mechanisms for evaluating agency programs

Financial

  • Ensure policies and procedures are in place for effective fiscal management and oversight

  • Assist Treasurer with the preparation and presentation of the organization's budget

  • Create annual fund development plan linked to the operating budget with clear targets and actions including diverse funding sources

  • Ensure policies and procedures are in place for effective fiscal management and oversight

  • Assist the Board in developing new areas of funding

  • Assist the Board in the development of a long-term financial plan

  • Monitor expenditures, and making adjustments to the budget as necessary

  • Identifying and managing risks to the agency

  • Ensure development of financial management policies for budget control

Fundraising

  • Convene and chair fundraising committees for both of our annual, major fundraisers

  • Plan and oversee all fundraising activities in accordance with appropriate provincial, federal and agency requirements

  • Ensure existing donors and sponsors are appropriately recognized and stewarded

Public Relations

  • Maintain positive profile of agency within the community

  • Liaise with governmental departments and other community agencies as necessary

  • Ensure the production and distribution of the agency newsletter

  • Ensure development, execution and evaluation of the communications and marketing plan, as part of the annual operating plan of the agency

  • Along with the Board Chair, act as the agency's key spokesperson and representative to the community, government and media

  • Ensure the organization builds and sustains relationships with youth, families, volunteers, donors, funders, government representatives, politicians, and other youth-based agencies to help achieve our organization's missions and goals

  • Explore, and where feasible, build strategic partnerships to advance the interests of the agency while working positively and collaboratively with other community agencies

Personnel

  • Ensure adequate staffing levels to execute the work of the Agency effectively

  • Responsible for hiring appropriate employees for all positions

  • Provide clearly defined job descriptions for all staff positions

  • Establish clear patterns of authority, responsibility, supervision and communication with staff

  • Ensure all staff receive sufficient orientation and training to perform their duties

  • Ensure staff development programs are developed in accordance with staff needs

  • Act as liaison between staff and Board

  • Able to terminate staff when necessary

  • Ensure annual personnel evaluations are completed

  • Ensure proper screening completed on all personnel

Privacy

  • Ensure adherence to federal and provincial privacy legislation

  • Ensure training is delivered to staff related to applicable privacy legislation

  • Act as contact person for all privacy related matters between public, Agency, Board and National Office

To perform this position successfully, the employee must be able to demonstrate functionality in most or all of the key responsibilities.

The position can be a physically challenging one as the Executive Director is expected to facilitate agency-led events and fundraisers which can range from sports activities to themed fundraising events, and often take place in high-paced, active environments which can include heavy lifting.

Must be an energetic self-starter who is able to function independently as well as within a team environment. The employee should be willing to work irregular and additional hours evenings or weekends as necessary and must also have the ability to provide timely responses to requests and deadlines.

The position may also involve casework duties dependent on the size of the team from time to time. The employee will work largely within an office environment; however, the responsibilities of the role may require meetings outside of the office. The Executive Director must be able to transport themselves to meetings and potentially attend meetings or conferences within and outside the province on occasion.

This is a full-time position based out of the Grande Prairie BBBS Office.
